JOB SUMMARY:
Provides administrative support to the property operation function of an owned and/or leased properties and facilities by communicating and coordinating with staff and tenants' regarding issues, requests and concerns.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Under general supervision, performs the following duties as they relate to all owned and leased properties and facilities:
· Receives, tracks, and responds to requests, complaints, issues and inquiries from tenants and employees.
· Performs site inspections to assess maintenance needs, safety hazards, customer issues, landscape needs, curb appeal, signage, and other amenities.
· Prepare and maintain schedule related to tenant moves, construction work by unit, and any work that would disrupt resident's general enjoyment of the site.
· Assist in posting notifications of disruptive work.
· Performs a variety of administrative tasks in connection with the office operation, including preparing a variety of reports, correspondence, and agendas.
· Prepares and distributes notices to tenants regarding a variety of issues, including upcoming work, construction status updates, etc.
· Establish and maintain effective working relationships with management, residents, and the relevant team members.
· Performs related duties as assigned.
Knowledge / Ability / Skill
· Business communication practices and procedures.
· Basic principles of maintaining and updating schedules and creating effective notifications
· Experience handling sensitive and confidential information and material
· Principles and practices of effective recordkeeping and records management.
· Relevant administrative rules, regulations, policies, and procedures.
· Customer service standards, methods, and procedures.
· Proficient in MS Office; Word, Excel and Outlook-Calendar, TEAMs
· Must have excellent verbal and written communication and outstanding customer service skills, communicate clearly and effectively, both written and orally.
· Detail-oriented, highly organized, self-motivated and ability to prioritize tasks and projects with limited direction and time constraints.
· Ability to be resourceful and proactive in dealing with issues that may arise
· Must be a good culture fit: Open-minded, positive attitude and team player. Be able to work independently and as a team to complete assignments in a timely manner.
· Interact professionally with all office visitors and incoming callers.
· Develop, evaluate, and recommend improvement to programs, projects and customer service delivery procedures.
· Identify, analyze, evaluate, and recommend solutions to a variety of problems.
· Organizing, prioritizing, assigning, reviewing, monitoring, and evaluating work.
EDUCATION / EXPERIENCE REQUIREMENTS:
· High school diploma. A Bachelor's degree in Business, Public Administration, Real Estate, or other related field is preferred.
· Background in management, social work, or real estate
· 1-2 years of relevant experience
Job Type: Full-time
Schedule:
- Expected Hours: 50 hours / week (which is 10 hrs OT)
- Day shift
- Monday to Friday
Work Location: In person
Pay: $22.50 - $34.50 per hour
