Summary

The Sr. Payroll Specialist will be responsible for the accurate and timely processing of payroll. They will serve as the subject matter expert for all payroll-related matters and ensure compliance with federal, state, and local regulations. The Sr. Payroll Specialist will also oversee payroll audits and address any discrepancies or issues that arise. They will collaborate closely with HR and finance departments to ensure seamless and accurate processing of payroll.

Essential Functions

  • Process semi-monthly payroll for all employees in compliance with federal, state, and local regulations
  • Ensure accurate and timely calculations of wages, salaries, draws, bonuses, commissions, and other compensation elements
  • Review, analyze, and resolve any payroll discrepancies or issues
  • Perform payroll audits to ensure accuracy and compliance
  • Maintain payroll records and documentation in accordance with company policies and legal requirements
  • Work closely with HR and finance departments to ensure accurate payroll reporting and submissions
  • Stay updated on changes in payroll regulations and best practices
  • Provide exceptional customer service to employees regarding payroll-related inquiries or concerns
  • Provide payroll support to HR by using 401(k) admin platform to manage critical activities such as 401k contributions, employer match, loan processing, FSA uploads, and 5500 audits
  • Oversee processing of payroll changes (e.g. new hires, acquisitions, terminations, raises) and system upgrades
  • Create internal best practices and policies as needed for staff and managers to follow
  • Load payroll reports for pay period into NetSuite
  • Search and send Paylocity registration data to set up new jurisdictions
  • Responsible for ensuring the execution of quarter and year-end process is completed
  • Responsible for timely and accurate posting of all payroll-related journal entries for month end close in accordance with the organizations' month end close schedule, policies, and procedures
  • Performs maintenance on payroll tax updates and is responsible for testing new or changed payroll tax functionality

Requirements

Education and Experience:

  • Bachelor's degree in Accounting, Finance, or a related field preferred
  • Minimum of 4 years experience in payroll processing and administration
  • Sound knowledge of payroll regulations and compliance
  • Proficiency in payroll software and systems
  • Solid understanding of payroll best practices
  • Experience with Paylocity is required

Other Requirements:

  • Up-to-date knowledge of federal, state, and local payroll regulations
  • Experience with multi-state payroll processing
  • Strong problem-solving skills and ability to handle complex payroll issues
  • Ability to prioritize tasks and meet deadlines
  • High level of accuracy and attention to detail
  • Demonstrated proficiency with MS Office (especially Teams, PowerPoint, Outlook)

Bonus Points

  • International payroll processing experience
  • Experience with NetSuite
  • Basic Spanish - speaking and writing
  • CPP or FPC certification
