GENERAL SUMMARY
The Sales Administration position is responsible for providing administrative support to the sales team, ensuring smooth operations and efficient coordination of sales-related activities. This role involves handling paperwork, data entry, maintaining records, and facilitating communication between the sales department and other internal departments as well as external clients. The Sales Administrator plays a crucial role in streamlining processes to enhance productivity and customer satisfaction.
ESSENTIAL DUTIES & RESPONSIBILITIES
Administrative Support including assistance to the sales team, including but not limited to drafting correspondence, preparing reports, scheduling meetings, and managing calendars.
- Order Processing: Process sales orders accurately and efficiently, ensuring all necessary documentation is completed and filed appropriately.
- Customer Service: Serve as a point of contact for customer inquiries and issues, addressing them promptly and courteously. Coordinate with the appropriate personnel to resolve customer concerns effectively.
- Data Management: Maintain and update customer databases, sales records, and other relevant information in CRM (Customer Relationship Management) systems.
- Inventory Management: Assist in monitoring inventory levels and coordinating with the inventory or warehouse team to ensure timely replenishment.
- Sales Support: Collaborate with the sales team to provide support in various aspects of the sales process, such as preparing sales presentations, proposals, and contracts.
- Reporting: Generate sales reports and analyze data to track sales performance, identify trends, and provide insights to management for decision-making purposes.
- Communication: Facilitate communication between the sales department and other internal departments, such as marketing, finance, and logistics, to ensure seamless coordination and information sharing.
- Documentation: Maintain accurate records of sales activities, contracts, and correspondence, ensuring compliance with company policies and legal requirements.
- Process Improvement: Identify opportunities for process improvements within the sales administration function and contribute to the implementation of best practices to enhance efficiency and effectiveness.
Education and Experience
- A high school diploma or equivalent required.
- Proven experience in sales administration, customer service, or administrative support role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM software.
- Excellent organizational and time management skills with the ability to prioritize tasks.
- Strong attention to detail and accuracy in data entry and record-keeping.
- Effective communication and interpersonal skills.
- Ability to work collaboratively in a team environment and independently with minimal supervision.
- Flexibility to adapt to changing priorities and work under pressure in a fast-paced environment.
- Knowledge of DSD sales processes and terminology is desired.
- Self-starter with problem solving abilities.
