Job description

Sales Support Administrator

Position Overview: We are seeking a motivated and detail-oriented Sales Support Administrator to join our dynamic team. This role is crucial for providing administrative support to our sales team and ensuring smooth daily operations. The ideal candidate will be organized, proactive, and possess excellent communication skills. 

Key Responsibilities: 

  • Administrative Support:

○ Handle daily administrative tasks, including managing correspondence,  scheduling meetings, and onboarding new wholesale accounts. 

○ Prepare and process documents, reports, and presentations. 

○ Organize and maintain digital and physical filing systems. 

○ Assist in coordinating company events and meetings. 

○ Ordering and management of certificate of analysis 

○ Reviewing labels & packaging for completeness and errors and placing orders 

with vendors 

○ Create UPC codes in GS1 website. 

  • Sales Support:

○ Support the sales team with customer inquiries, order processing, and  documentation follow-ups. 

○ Maintain customer databases and update records accurately. 

○ Assist in the preparation of sales orders, proposals, and contracts. 

○ Track sales metrics and generate regular reports for the sales team. 

○ Coordinate with logistics and warehouse teams to ensure timely delivery of  products. 

○ Liaison between production and sales representatives to request information for projects.

○ Product onboarding: take photos of products in light box, coordinate with  marketing team

  • Customer Service:

○ Provide exceptional customer service by addressing client inquiries and resolving

issues promptly via phone, email and chat.

○ Develop and maintain positive relationships with clients and partners.

  • Communication:

○ Communicate effectively with internal teams.

○ Prepare and distribute internal communications and updates.

○ Assist in the development and implementation of marketing and promotional materials.

Qualifications:

  • Proven experience in administrative or sales support roles.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM software.
  • Ability to work independently and as part of a team.
  • Detail-oriented with a high level of accuracy.
