Job Description

The Office Administrator is responsible for general office administration, acting as the administrative point of contact between the executives and internal/external clients. The ideal candidate will undertake the tasks of receiving calls, taking messages, routing correspondence and
handling executives requests and queries appropriately. We are looking for a competent Office Administrator that will provide personalized administrative support in a well-organized and timely manner.


This position reports directly to the Operations Manager


*Office Hours: Monday – Thursday, 8:00am-5:00pm; Friday 8:30am – 3:00pm

 

ESSENTIAL JOB FUNCTIONS:

 

  • Perform administrative tasks, such as completing paperwork, answering phone calls, and maintaining records
  • Routinely use Microsoft Word, Excel and PowerPoint to complete administrative tasks
  • Provide prompt, accurate and friendly customer service
  • Adhere to Company Product Training Programs to enable continued success
  • Handle sensitive, confidential information and tasks with tact, discretion, and diplomacy
  • Act as the point of contact between the executives and internal/external clients
  • Undertake the tasks of receiving calls, take messages and routing correspondence
  • Arrange meetings, appointments and provide reminders
  • Make travel arrangements
  • Be strong in ability to take detailed notes and accurately enter data
  • Produce reports, presentations, and briefs
  • Other duties as assigned

 

REQUIREMENTS:

 

  • Excellent phone etiquette and customer service skills
  • Professional appearance and conduct (i.e., no jeans, stretch pants/tights, or ripped clothing)
  • Computer and technology savvy; previous Microsoft Office and Excel (intermediate - advanced level) experience
  • Strong communication and interpersonal skills
  • Detail oriented
  • Ability to work in a fast-paced environment
  • Highly motivated analytical thinker
  • Punctual (*very important to role)
  • Willing and able to cross train with other administrative personnel
  • Willing and able to work overtime, if needed (coming in early and working late)
  • Full comprehension of office management systems and procedures
  • Exemplary planning and time management skills

 

QUALIFICATIONS:

 

  • Proven experience as an Office Administrator, Senior Executive Assistant or in other secretarial position
  • Highly energetic individual, who has a positive, can-do attitude, with ability to multi-task and demonstrate effective time management skills
  • Strong verbal and written communication skills
  • Minimum 3-years working experience in the following: Word, Excel (Intermediate Level), Data Entry, Customer Service, and Administrative Assistant

EDUCATION

  • Bachelor’s Degree preferred but not required

COMPENSATION

  • Starting at $24 per hour
