Under the supervision of the Clinical Pharmacist, the Pharmaceutical Inventory Specialist is responsible for performing a wide variety of duties, which primarily include the coordination of inventory, ordering, and tracking of medications/vaccines. Developing and managing pharmaceutical/immunization quality assurance, evaluation, and reporting to the clinic and state agencies. Preparing accounting reports for finance and Quality assurance audits. Acting as a liaison between Shasta County Public Health Department and SCHC regarding immunization activities and coordinates CAIR registry.

JOB DUTIES AND RESPONSIBILITIES
  • Maintains inventory by checking stock to determine inventory level, anticipating needs and supplies, placing, and expediting orders, and removing outdated drugs.
  • Maintains equipment and maintenance log for refrigerators, freezers, temp monitors, and recalibrations.
  • Receives inventory, verify order is accurate, label with barcodes/stock type, update inventory and put away as soon as possible.
  • Records purchases, maintains database, performs monthly physical count of inventory, and reconciles actual stock count to computer-generated reports.
  • Investigate and correct discrepancies in reported quantities and locations of all inventory.
  • Advises and answers questions from other sites on various issues related to medications and vaccines.
  • Documents all appropriate information in the electronic health record system.
  • Ensures staff are updated on changes regarding medications and vaccines.
  • Establishes and maintains relationships with Pharmaceutical Reps by being the direct contact and passing on any relevant information on to the Chief Medical Officer for review.
  • Organizes training with drug reps when requested by providers, ensuring all compliance policies are being followed.
  • Orders and maintains Sample Medication inventory, conduct monthly audits and report discrepancies to Center managers.
  • Updates NDC numbers in NDC Library to ensure proper billing.
  • Conducts monthly med room inspections, ensuring all medication is labeled and stored properly and crash carts are being check.
  • Assists Pharmacy Consultant with quarterly med room inspections.
  • Documents all Patient assistance meds as they arrive in Patient charts and received log.
  • Reports temperature excursions (out of range) to Vaccine for Children (VFC).
  • Collaborates with Public Health Department Immunization Coordinator regarding staff education, vaccine program management, and all requirements for public information regarding vaccines.
  • Ensures vaccine information sheets (VIS) and Anticipatory Guidance handouts are up to date and stocked.
  • Reports to Vaccines for Children program (VFC) vaccine inventory, doses used and request doses. Timing is based on department use.
  • Pre-orders seasonal influenza vaccines for all sites, placing additional orders as needed.
  • Performs monthly inventory and private stock transfer reports and bi-annual reconciliation report on all vaccines.
  • Encourages review of immunization status for all children and adults seen by SCHC.
  • Establishes, supports, and tracks best practices in IZ processes and procedures.
  • Logs vaccine lot numbers in CAIR for all VFC pins/updated monthly.
  • Checks immunization documents monthly to ensure reported to CAIR return undocumented reports to CM.
  • Performs other duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES
  • Ability to work within a time frame and under pressure.
  • Strong verbal and written communication skills.
  • Strong computer and data entry skills with advanced Excel knowledge.
  • Strong attention to detail and ability to problem solve.
EDUCATION & EXPERIENCE
  • Pharmacy Tech Certification required
  • APICS Certification in Production and Inventory Management (CPIM) required within 6 months of hire.
PREFERRED QUALIFICATIONS
  • AA in business, accounting, finance, inventory control or purchasing.
  • At least 3-5 years clerical or other work experience in the healthcare field.
  • Medical background – experience as a Pharmacy Tech or similar work experience.
