IMSolutions offers an exciting opportunity for an Executive Administrative Support Specialist to join us at our esteemed client, The National Oceanic and Atmospheric Administration (NOAA). This role provides a platform for professional growth and development.
This position is a hybrid role reporting to NESDIS in College Park, MD. We are committed to providing a supportive and collaborative work environment to ensure your success in this role.

As an Executive Administrative Support Specialist, you will play a pivotal role in performing various administrative support duties. These include all aspects of schedule and email management, communications, meetings, and travel coordination, document and pre-brief creation and coordination, and proactive engagement with NOAA, interagency, national, and international partners, and organizations. Must be willing to travel. The ideal candidate will be extremely professional and organized, familiar with Federal financial processes, proactive in asking questions, and able to work well with people inside and outside government.
These functions include:
  • Support administrative functions, including scheduling and calendar management.
  • Perform analytical functions, including reviewing and analyzing data, drafting, and developing reports, and tracking data to meet identified goals.
  • Meeting Facilitation - support setting up and coordinating meetings and Video Teleconference Calls (VTCs). Examples of work that shall be performed include generating agendas and meeting announcements, attending government meetings with Government personnel, making arrangements for conference rooms, generating meeting minutes, and tracking resolution of action items.
  • Meeting Participation - participate in a non-decisional capacity in technical, programmatic, and financial interchange meetings or conferences; write meeting summaries; prepare after-action reports; and prepare meeting and conference materials as required.
  • After Action Reports – provide a report that clearly identifies new items as the result of a conference or meeting. This report is expected to be an information push (rather than an information pull such as web-based tools or multiple-party e-mails) as a notice to the responsible parties and persons responsible for oversight. These reports should be completed for review not later than one business day from the conclusion of the conference or meeting.
  • Editorial: Technical Support - provide technical and editorial support for drafting and issuing correspondence and messages in accordance with the latest series of the NESDIS Correspondence Manual or office requirements to enable the Project Manager to effectively communicate both with industry and other NESDIS business units to resolve technical and programmatic issues in a timely manner.
  • Internal Correspondence - support the Director with drafting routine letters, memos, e-mails, and digests. These products are expected to require significant research, input, and coordination to complete.

Required Job Qualifications:
  • Six (6) years of administrative clerical support expertise.
  • Bachelor’s degree or at least 24 credit hours in business or a business-related field.
  • Advanced knowledge of Microsoft Office 365, including using PowerPoint, Project, Excel, and Outlook to process data relevant to business requirements.
  • A U.S. Citizen or Foreign National with a work permit who has resided in the U.S. for three or more years.
  • Ability to pass a Federal Public Trust Clearance, which must be adjudicated favorably for you to begin working. This requires fingerprinting and reporting on your previous employment, residence, education, and financial and legal background. Candidates may be disqualified for federal or state convictions of crimes, military court-martials, delinquent federal debt including taxes and student loans, current use of illegal drugs, or lying on their application.

Base compensation range and benefits:
$50,000 to $65,000 - Actual compensation is subject to variation due to such factors as education, experience, skillset, and location.
