The key responsibility of the Patient Care Specialist is to manage the first impression of the practice for all patients and guests by greeting them in a positive and friendly manner.  As the Patient Care Specialist, you are the first interaction the patient or guest has with our practice. Upholding our practice mission, vision, and values is of the highest importance.


The Patient Care Specialist is responsible for welcoming all new and existing patients and guests to the practice. This may occur via front desk reception, telephone, email, checkout, etc. The Patient Care Specialist ensures efficient patient flow within the practice and helps to maintain a full appointment schedule.


The Patient Care Specialist will check in and check out patients and is responsible for the collection of patient fees/copays at the time of service.

The Patient Care Specialist is responsible for maintaining the reception area in a way that is consistent with the practice’s standards.


Job Responsibilities:

  • Greeting all patients and guests to the practice promptly, determining their needs, and responding accordingly.
  • Answering the telephone promptly and pleasantly. Manages the telephone effectively to coordinate calls between the patients, the physicians, referring physicians, office personnel, vendors, etc.
  • Scheduling appointments and maintaining a full appointment schedule
  • Keeping the Pediatricians on schedule and maintaining efficient patient flow
  • Appointment confirmation and recall reminders and follow-up with no-show appointments
  • Reports to management/leadership on the status of the appointment schedule
  • Receiving all correspondence
  • Reports to management/leadership any patient challenges or complaints, likewise, reports all patient testimonials.
  • Obtain authorization from insurance companies regarding a patient’s eligibility for each visit.
  • Prepares and maintains electronic patient charts to include gathering statistical data, gathering demographic and insurance information from patients, and inspecting patient records to ensure completeness before appointment time.
  • Prepares patient charts for quality measure reporting.
  • Completes records requests promptly.
  • Coordinates care for patients with chronic/complex issues and schedules follow-up appointments.
  • Demonstrates excellent communication and listening skills toward patient families, and keeps communication clear between patients, physicians, nurses, and other staff.
  • Must be able to complete simple triage.
  • Carries out duties that uphold our company’s mission, vision, and values.
  • Is accountable for attendance and punctuality.
  • Is a self-starter, works well without constant supervision, and can move from one task to another efficiently as time allows
  • Complete all other duties as assigned.

Required Skills/Abilities

  • Must demonstrate the ability to manage multiple interruptions continually, always maintaining friendly interactions with team members, patients, and guests of the practice.
  • The Patient Care Specialist should be patient-focused and display a desire to work within the practice’s brand values to deliver exceptional customer service.
  • Exhibits the ability to work well within the team environment, supporting all members of the team in delivering on the patient experience.
  • As the first point of contact, the Patient Care Specialist must consistently display behaviors that complement the practice.
  • Must have the ability to maintain a high level of detail orientation despite frequent interruptions. Accuracy and diligence concerning patient records, scheduling, and file maintenance are required.
  • Must be able to work at a fast pace. Effectively handling multiple tasks at one time, focusing on patient flow and experience. Must be able to prioritize tasks.
  • Knowledge of medical terminology, current office practices and procedures, and basic math.
  • Ability to maintain confidentiality.
  • Ability to read, interpret, and apply regulations, policies, and procedures.
  • Ability to work with minimal supervision and with extensive detail, and prepare written correspondence using correct grammar, punctuation, and spelling.
  • Ability to use and access databases and computer applications such as an EHR, Microsoft Office Suite such as Word, Excel, Teams, and Outlook
  • Ability to organize work and set priorities to meet deadlines.
  • Ability to build relationships with different types of people including patients, team members, and members of the healthcare team.

If Bilingual

  • Must be fluent in verbal and written communication.
  • Ability to appropriately understand and respond to culturally sensitive situations, perspectives, and phrases.
  • Excellent listening skills and auditiory recall as needed to remember spoken words and accurately reproduce them in the desired language.


Education

  1. High school graduate
  2. Previous medical office experience preferred.
  3. Basic medical insurance knowledge is desirable.
  4. Bilingual desired but not a requirement

Physical Requirements

  • Prolonged periods of sitting and a desk and working on a computer
  • Must be able to lift up to 15 pounds.
