Job Description

As a Paralegal at Husband & Wife Law Team, you are the gatekeeper of our clients’ experience, and the project manager of their case. You will work closely with the assigned attorney and paralegal manager to proactively ensure cases are moving forward efficiently while providing exceptional service. In this role, you will assist the assigned attorney with complex cases in active litigation (certified as Tier 3 in Arizona state courts) and proactively complete tasks preparing the case for trial, if trial is necessary. At this level, high emotional intelligence is a must. You will be working with clients who have experienced catastrophic, life-changing events. The paralegal must have the ability to navigate difficult conversations with compassion and empathy.

Paralegal performance is measured by key performance indicators: 1) closing a set number of cases each month, and 2) maintaining a client happiness score of 93% or higher based on client survey responses. Paralegals are expected to meet these KPIs by providing consistent communication to optimize the client’s experience as well as managing cases efficiently to minimize timeframes.

Paralegal Responsibilities and Duties:

  1. Manage own caseload of 30-40 complex personal injury cases in active litigation.
    1. Cases will involve governmental entities, multi-vehicle collisions, corporate defendants, statutory wrongful death beneficiaries, and estates.
    2. Case types will include wrongful death, dram shop, premises liability, dog bites, drowning, slip and falls.
    3. Clients will have suffered serious injuries including but not limited to extended hospital stays, multiple bone fractures, surgeries, amputation, paralysis, extended rehabilitation, traumatic brain injuries, substantial lost time from work, and permanent disabilities/injuries.
  2. Communicate with clients at a minimum of every 28 days to obtain case information and provide status updates.
  3. Schedule attorney client calls for each client every 90 days.
  4. Respond to client inquiries within a 24-48-hour time period.
  5. Interview clients to obtain accident details and information regarding their injuries, medical providers, prognosis, and lifestyle impact.
  6. Perform investigative tasks to determine viability of client’s case including sending spoliation letters, speaking with witnesses, hiring investigators to obtain witness statements, requesting surveillance video and security footage, requesting documents from OSHA, medical examiner, workers’ compensation, etc.
  7. Work with experts to obtain accident reconstruction reports and black box data.
  8. Investigate liability, causation, damages, and the at fault party’s ability to pay.
  9. Determine all layers of available insurance coverage to maximize our client’s recovery.
  10. Obtain health insurance information and documentation from client.
  11. Review and analyze documents including police reports, witness statements, medical records, medical bills, expert reports, employer files, OSHA files, workers’ compensation files, and correspondence from opposing counsel, insurance adjusters, medical providers, and experts.
  12. Review incoming mail and determine next steps.
  13. Redact documents to maintain client privacy.
  14. Maintain organized and up to date records and notes in case management software.
  15. Communicate with various parties including insurance adjusters, medical providers, health insurance analysts, opposing counsel, court personnel, etc. regarding a client’s claim.
  16. Calendar, monitor, and comply with important dates including statute of limitations, litigation deadlines, and internal deadlines.
  17. Provide regular updates to attorneys regarding case status.
  18. Determine medical records and bills to request and ensure records are requested and received from providers.
  19. Review, finalize, and send demand packages to insurance companies.
  20. Anticipate the need for legal and/or medical experts and schedule independent medical examinations, records reviews, site inspections, etc.
  21. Schedule depositions of parties, witnesses, and experts.
  22. Draft and send public records requests.
  23. Draft and serve subpoenas.
  24. Prepare documents for expert review.
  25. Draft and serve Notices of Claim to governmental entities.
  26. Draft Complaints, disclosure statements, discovery, discovery responses, affidavits, notices of deposition, motions, and pleadings.
  27. Electronically file legal documents via Turbocourt and CM/ECF.
  28. Trial preparation including prepare exhibit binders, organize pre-trial documents, prepare deposition summaries, cite check motions/briefs regarding fact and legal citations, and schedule trial witnesses.
  29. Obtain subrogation information from government and private health insurers.
  30. Ensure accuracy and completeness of balance information obtained from medical providers.
  31. Prepare disbursement statements itemizing client’s settlement funds, balances owed, attorney’s fees, and client’s net recovery.
  32. Draft post-trial motions and pleadings.
  33. Manage workflow and delegation of tasks cross departmentally.

Preferred Skills and Qualifications:

  • 5-7+ years of paralegal experience handling complex personal injury cases in active litigation.
  • Direct paralegal support provided to attorneys in at least 5-10 trials in Arizona state courts.
  • Knowledge of Arizona Rules of Civil Procedure and court rules (State and Federal).
  • Intuitive and able to anticipate the needs of the assigned attorney and case without specific instruction.
  • Able to work and produce quality work product under pressure.
  • Highly proficient in time management.
  • Able to minimize distractions and maintain focus.
  • Able to work independently and collaborate with other paralegals.
  • Proven ability to multi-task.
  • Strong attention to detail.
  • Proven ability to prioritize conflicting tasks and deadlines.
  • High levels of adaptability.
  • Excellent communication skills – both verbal and written.
  • Ability to use case management software (Needles and/or Filevine preferred but not necessary).
  • Ability to use courtroom technology.
  • Able to work consistent schedule and able to work additional hours as necessary for trial preparation and trial.
  • Able to use a computerized time clock to track work hours.
  • Able to sit for long periods while completing computer activities.
  • Able to travel to Husband & Wife Law Team office on Ray Rd./I-10 in Phoenix, Arizona for necessary meetings and monthly firm events.
