Job Summary:
The Medical Records and Referrals Clerk will improve the overall health of the communities we serve by performing reception, scheduling, telephone, medical records management, and general clerical support duties as follows:
Essential Duties:
- Schedules appointments for patients within established clinic guidelines and coordinates the scheduling of translators as needed.
- Coordinates and schedules patient referrals to outside agencies, ensuring timely follow-up and receipt of reports.
- Takes patient demographics over the phone, enters them into the electronic medical records system (EMR), and updates demographics as specified. Prints demographic/consent forms and fee slips at the time of appointment for pick up by medical assistant—requests charts from ER, outside clinics, and laboratories for applicable patients before patient arrivals.
- Assists new patients with appropriate paperwork and provides necessary guidance.
- Greets patients upon arrival with "Sacred Hospitality," verifies appointment time, insurance, and personal information in the computer system.
- Assists the Health Information Manager with scanning medical records into Greenway/Intergy and Vista Imaging system.
- Professionally answers telephone calls within established guidelines, takes messages promptly, and refers callers to appropriate individuals.
- Monitors patient waiting rooms for cleanliness and security, ensuring a welcoming environment for patients.
- Makes photocopies of schedules, correspondence, or other materials as directed.
- Treats patients with the highest respect in all job functions and maintains patient confidentiality per compliance with the Privacy Act, HIPAA, WAC policy, procedures, rules, and Native Project Policy and Procedures.
- Performs other related duties as assigned or as needed to support the efficient operation of the clinic.
QUALIFICATIONS
This position requires the following qualifications to perform the above duties and carry out the above responsibilities:
- HS diploma or equivalent required. Prefer applicable additional schooling and/or formal training
- Has strong working knowledge of multicultural communities, Indian culture, Indian Country, social service systems, and community resources
- Customer service and multi-line telephone experience are strongly preferred.
- Demonstrate the ability to communicate both orally and in writing in an effective and timely manner
- Can work in a team environment, both in leadership and peer relationships, including conflict resolution
- Has demonstrated vital proofreading and editing skills with excellent grammatical skills
- Can capably operate various office equipment, such as a computer, photocopier, scanner, printer, postage meter, etc.
- Can capably use Microsoft Word or other programs and can be trained to use other software programs, such as Excel, Outlook, Access, Greenway/Intergy, and Provider One.
- Can move 25-30 lb. items, sit for extended periods and handle stress
- Can travel locally and for training
- Supports recovery-based lifestyles and patient outcomes
- Can pass a criminal background check, OIG check, and a pre-employment UA/BA.
