Harrisburg nonprofit Foundation is seeking Community Engagement/Donor Relations Specialist to join our team! This person will develop a supportive and informative relationship with donors, fund holders, board members and the community.  The successful candidate will provide back-up and assistance to the Finance Director and Executive Director. 

Company is a donor centered charitable agency dedicated to supporting the stability of life and help meet the social, cultural, and educational needs of the Central PA Jewish and general community. 

The successful candidate will be an enthusiastic, energetic addition to our Team.  They will possess a combination of education and experience necessary to support our professionals, board and committees with their technological, interpersonal, verbal and written communication, financial and administrative skills.  

Overview of responsibilities of Community Engagement/Donor Relations Specialist:

·       Board and Committee meeting minutes

·       Donor and fund holders’ communications and letters

·       Quarterly newsletter

·       Update website blog with local happenings/news

·       Planning and organizing of the board/committee meetings, annual dinner event and fund committee meetings/events

·       Stay current with in-house CRM and other technology

·       Provide assistance and back-up to the Finance Director, which may include processing of donations, payments, vouchers, and grants and necessary bank/investment approvals – willingness to be cross trained on finance system

·       Assist Executive Director and Finance Director with special projects and other needs

·       Donor relations, communications, stewardship, outreach to existing and potential donors and organizations

 

Qualifications of Community Engagement/Donor Relations Specialist:

·       Excellent written and oral communication skills

·       Microsoft Office including publisher or other platforms

·       Customer relations and excellent communications service

·       IT skills and willingness to learn finance, CRM, website, grant module systems and others as needed

·       Some financial skills/ability but willing to train the right person

·       Attention to detail

·       Display highest level of integrity and confidentiality

Position Description

Community Engagement/Donor Relations Specialist

As Community Engagement/Donor Relations Specialist, the successful candidate will be responsible for Donor Relations and willing to learn and function as IT specialist.  This position is responsible for varied administrative functions of the Foundation from maintaining donor records, funds, correspondence, promoting funds, managing the CRM database and occasionally assisting with the accounting system as needed, including necessary updates and editing, managing the grant module, website and other IT related responsibilities, become familiar with fund administration and internal accounting procedures in order to communicate effectively with donors, the board, committees, agencies and the community.

The Community Engagement/Donor Relations Specialist handles all communication, both written and verbal, with Foundation Donors, prospects, professional team, vendors and board/committee members.  And assists the Foundation Executive Director and other members of the Team with written and other communications.

Major Areas of Responsibility for the Community Engagement/Donor Relations Specialist

·       Liaison between donors, agencies/agency representatives, board/committee members, volunteers, colleagues etc. and the Foundation Director           

·       May assist the Finance Director with interfacing with auditing and accounting services personnel *

·       May assist the Finance Director with maintaining relationships with various personnel from multiple financial institutions  *

·       May  assist the Finance Director with sub-accounting functions and maintaining all investment pools  *

·       Scheduling, preparing information, attending and recording minutes of primary committee and board meetings

·       Maintaining development, PR/marketing, event and other calendars as needed                      

·       Overseeing various projects/events                                                                          *

·       Maintenance of all donor fund records and files in appropriate online folders and systems                                                                                                                *

·       Liaison with all boards of cemeteries and LLC Cemetery Committee

·       Liaison with Kol Central PA community digital news publication committees

Primary Objectives for the Community Engagement/Donor Relations Specialist

·       Become familiar with, promote and support the mission of the Foundation, to insure the future of the Jewish community in Central Pennsylvania                                               

·       Promote and improve Foundation funds to the Central PA community, and its services, benefits and procedures

·          Aid and support the Executive Director, Finance Director, Legacy Program Director, all board, committees and volunteers in carrying out their roles and mission for the Foundation                                                                                                         

Specific Responsibilities of the Community Engagement/Donor Relations Specialist

As needed work with the Finance Director

·        Processing of disbursements/grants to various charitable organization per fund documents and/or fund holder directives in alignment with Foundation policies and procedures                                                                                                                 *

·        Processing of receipts/donations to funds, including acknowledgements, tributes and tax letter gift acknowledgements                                                                              *

·        Processing of gift acknowledgements including tributes                                      *

·        Maintaining records for multiple investment accounts with various financial institutions; recording investment gains/losses and expenses; allocating gains/losses and expenses to individual funds in appropriate investment pools                          *

·        Calculation of Administrative and Sub-Accounting Fees; posting of such fees; allocating to individual funds as applicable                                                                         *

·        Monitoring administration to maintain and establish standards and procedures; identifying opportunities for improvement and resolution of any discrepancies  *

·        Assist with distribution of reports to various committees, of the annual budget and accounting for variances throughout the year                                               *

 

Working with the Executive Director and Committees

·       Maintain and participate in various meetings including scheduling of meetings, reserving meeting rooms, preparing meeting information, presenting information and taking minutes                                                             

·       Primary support and contact for committees including working with them on the processes related to grant-making                                                                     

·       Preparing and maintaining financial, committee and other documents and reports

·       Procurement of office Supplies

                                                                       

Job Requirements of Community Engagement/Donor Relations Specialist

  • Broad knowledge and experience and/or willingness to learn: administration, technology and communications   
  • Above average skills and/or willingness to learn in: accounting/bookkeeping              *     
  • Demonstrated ability to: organize and maintain schedules  
  • Demonstrated ability to: organize and maintain records

*Finance Director is responsible and Community Engagement/Donor Relations Specialist candidate will be willing to be cross trained
