Salary: $18.00 - $20.00 / hour

Our client, Grindley Williams in Lakeland, Florida, is seeking a full-time Project Coordinator/Scheduler to join their team – and we are helping them find the best candidate!

The Project Coordinator enhances the effectiveness of the forensic department by coordinating and providing professional administrative support to the team. In addition, the project coordinator organizes services in support of the team such as scheduling assignments and communicating with clients.

ESSENTIAL REQUIREMENTS, DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

 

  • Coordinates engineers’ schedules by initiating calls to homeowners or their representatives to set up site visits and updating calendars and databases.
  • Communicates regularly with clients regarding scheduling updates, scheduling timeframes, and assignment details.
  • Verifies correct project information (scope of work, homeowner name, address, contact information, etc.).
  • Maintains up-to-date project information across multiple databases as new information/supplemental documents are received.
  • Communicates with engineers and technicians regarding schedules, project details, and appropriate equipment to accomplish inspections.
  • Works closely with other schedulers to ensure balanced scheduling timeframes and engineer workloads.
  • Provides general administrative support and other miscellaneous tasks as needed.

EDUCATION AND EXPERIENCE

  • High school diploma or equivalent required. Associate degree preferred.
  • Minimum 2 years in an administrative role. Previous work experience in an engineering company is preferred.
  • Must have experience in technology-based office management and/or office support (Microsoft Word, Adobe Acrobat, Excel, and Outlook).

  • Ability to effectively prioritize tasks and time demands in a fast-paced environment.
  • Ability to multi-task and adapt to last-minute requests and changes.

LANGUAGE/COMMUNICATION SKILLS

  • Must possess excellent verbal and written communication skills.
  • Ability to respond effectively to common inquiries from internal and external sources.
  • Ability to communicate professionally with various personalities and attitudes.
  • Bi-lingual (Spanish) is a plus.

 

REASONING ABILITY

Ability to define problems, collect data, establish facts, and draw valid conclusions. 

 

PHYSICAL REQUIREMENTS

  • Ability to sit and stand for long periods of time.
  • Must be able to reach, grasp, feel, and see up close and from afar.
  • Must be able to use basic office computer hardware and peripherals, with or without reasonable accommodation.
  • Must be able to communicate verbally and in written form.
