Job Description

This role is for a Christian-based, faith oriented, missionary sending agency. A personal testimony of faith in Jesus Christ and an agreement and adherence to the organization's Statement of Faith is required as an essential foundation to the organization.

Job Overview:

Serves as resource and support to the Executive Team (ET), which includes the Finance Director (FD), Executive Director (ED) and Associate Director (AD), and the Director of Operations (DO) of GoSendMe Global (GSM), as well as the Leadership Team (LT) and all GSM Missionaries and Partners to ensure the business and financial needs are met. Reporting to the Director of Operations, the Business and Administration Manager (BAM) provides direct, daily business support, ensuring such services are delivered in an efficient, effective, and organized manner. The position aids leadership in the use of their gifts and talents towards making disciples of Christ, being on the field, as well as training and equipping others to serve. The ideal candidate will thrive in a fast-paced environment and will report to a manager who is passionately focused on supporting the mission of the organization and serving those who are serving Him, by providing a high standard of excellence and professionalism in not only the work that is produced, but also in the conduct and spirit that is displayed.

Objectives and Responsibilities:

• Pray daily and diligently over the organization and all its efforts.

• Work closely with the ET to ensure the success of financial processes.

• Help maintain policies and procedures to ensure the effectiveness of GSM, under the leadership of the Holy Spirit and the accountability of the ET and Board of Directors.

• Ensure the ET is prepared with appropriate financial documentation and notes for meetings.

• Assist the ET in evaluating and determining the ongoing financial needs of the organization to effectively serve the long-term efforts of Missionaries.

• Attend and document special event planning sessions and fundraising planning meetings as a liaison to the Finance Team (FT), documenting and communicating any questions or issues to the ET.

• Understand the unique roles and responsibilities of the ET, GSM Missionaries and Partnerships.

• Function as a liaison between the FT, ET, and the Board, providing necessary reports, up-to-date details, and accurate information regarding finances and areas of spending, including collaboration on all budget reports.

• Develop departmental reports to communicate organizational growth, needs, etc., including monthly finance reports.

• Coordinate with FT to prepare documents for monthly Board meetings.

• Facilitate communication within the organization using TEAMS, email, and phone conversations.

• Ensure communication with the ET, LT, FT, Partners and Missionaries remains open and healthy, regular but not routine, supportive of the mission and vision, and is meeting their needs for leadership, development, care, and service across all departments and ministries.

• Develop a trust relationship with each of our Missionaries and Partners that understands the servant-spirit culture of the organization, seeing us a truly valuable tool in reaching their fields for future generations.

• Develop a Christ-Centered strategy for collaboration and cooperation with both Missionaries and Partners that addresses their ministry calling needs, timeline, and missional strategy.

• Maintain and review partnership grant agreements for new and recurring partners.

• Learn and/or provide grant writing skills to aid in GSM's financial development.

• Assist in maintaining the financial aspects of the application process for short-term team members and apprentices ensuring steps in the process are completed and in order.

• Assist in maintaining the financial aspects of the application process for new missionaries and volunteers, in collaboration with the LT, ensuring all steps in the process are completed and in order.

• Meet with the LT periodically to determine organizational direction and provide application status reports for Long- Term and Short-Term Missionaries.

• Manage Missionary Status Spreadsheets, MPDX and iDonate accounts and assist new Staff and Missionaries with learning new technologies that make GSM run more smoothly. Make recommendations to that end.

• Collaborate with the DO to create and maintain organizational documents with necessary updates; including, but not limited to, Simple Answers, Steps to the Field docs, Employee Handbook, STT Steps to the Field, Finance and Admin On-boarding Packets, and Application Road-maps.

• Manage financial aspects of travel arrangements for Staff and Short Term and Long-Term Missionaries through our chosen sub-contractors or directly, in collaboration with the DO.

• Aid with event planning and the arranging of meetings, events, and trainings.

• Track spending and income for special events, such as Candidate Orientation and Annual Banquet.

• Collaborate on budget creation organizationally and with missionaries.

• Manage Reimbursement Requests/Approvals for the FT to then disperse funds appropriately.

• Send credit card charge reports to GSM employees.

• Monitor contract amounts for monthly and annual services and provide budget vs actual reports and guidance.

• Prepare and deposit bi-weekly deposits and Direct Expense Reports for the organization.

• Review and Submit weekly time sheets and bi-monthly payroll for salaried office staff.

• Create and maintain a system for accurately tracking volunteer hours.

• Provide excellent customer support to donors regarding their accounts in iDonate and methods of giving.

• Train missionaries to use support raising tracking software (MPDX) and on other financial tracking applications.

• Recruit volunteers for GSM in day to day operations and for special events.

• Prayerfully set the pace and be an example by aiding the organization’s support raising process by seeking new avenues of partnership and financial support through personal networks.

• Develop Benefits and Retirement options for GSM staff in collaboration with the ET.

• Attend at least one training each year to strengthen skills needed for success in the role.

• Preserve the unity of the Body of Christ and ensure that no decision is based on self-will or selfish ambition. Rather, seek to build up the Body of Christ within the organization, support the local churches it represents, and the believers it serves around the world with equal grace, truth, faith, hope, and love.

• Perform other duties as requested or required.

Requirements:

• Be present at the GSM Administration Office in Sherman, TX for 24 hours per week during the regular

office hours of Monday – Thursday from 9 am – 4 pm CT with a one-hour lunch break during each full day. (Hours not to exceed 30 per week) This role will be completed in an office environment with necessary online video meetings with remote office staff.

• Certain circumstances may require additional evening or weekend hours, i.e., Candidate Orientation, Annual Banquet, special events, and trainings as needed.

• The GSM offices are co-located within a local area church requiring the BAM to maintain above reproach conduct and decorum with volunteers, church staff, the ET, and others. who frequent the premises.

• Agree and support GSM’s Statement of Beliefs, core values and mission objectives, both in the applicant’s professional and personal life.

• Possess a strong proficiency in current computer/cell phone/tablet technology, including Mac and PC products, Microsoft Office 365 online and desktop versions (especially Teams/Outlook/Excel), Adobe PDF, and the willingness to learn other systems including MPDX, iDonate, Formstack, etc.

• Strong bookkeeping, budgeting, payroll, and finance skills with 3 + years bookkeeping and payroll experience.

• Missions and/or ministry experience required.

• High school diploma required. Associate or Bachelor’s degree preferred.

• Advanced communication skills (verbal, written, electronic) and superior phone skills.

• Multi-tasking ability and able to function under pressure and tight deadlines.

• Able to lift and carry materials for the office (up to 25 lbs).

• Must be proficient in working with international relationships, cross-cultural settings, and foreign exchange rates.
