SummaryThis is a contract role, expected to last a minimum of 4 months.Under the direction of the Head of US Operations, the Real Estate Operations Associate will work with our Property Management, Construction and Lease Administration teams to provide world-class customer service to internal and external stakeholders. Keys to success in this role are the ability to proactively manage rapidly shifting, deadline-driven priorities across geographic regions with superior communication, organizational and detail-oriented skills. Your work will include extensive data entry in multiple software platforms and modules, including Yardi (Payscan, Voyager, Construction Manager), Jones COI, MS Office, Adobe Acrobat, and Concur.

Responsibilities
- Maintain files for Property Management and Construction teams including contracts, change orders, leases, invoices, property characteristics, purchase sale agreements and phase 1's, vendor COI, building, customer, and vendor files
- Assist with verification of vendor, customer and owner COI's, including verification of coverage
- Maintain property lists, tenant distribution lists and emergency distribution lists for interna distribution and access
- Prepare monthly market meeting materials and coordinate with third-parties to communicate agendas and schedule meetings
- Assist Lease Administration including basic lease entry, commencement date and security deposit/Letter of Credit tracking, bank account coordination and communication, and property and lease contact set up
- Manage the day-to-day Payscan responsibilities including support for general questions and training, perform daily data review of Payscan Preliminary Workflow Queue; and work with third-party property managers, Construction team, and/or Accounting personnel to resolve invoice issues
- Respond to internal requests for information on budgets, expenses, and lease-related details
- Enter property characteristics into Yardi Voyager, set up job codes in Construction Manager and enter/process
- Construction invoices for payment
- Assist 3rd-party property managers with process and system-related questions/issues
- Create and/or update department forms used to collect data from internal and external sources
- Review, maintain and update Construction Property List
- Create and maintain preliminary notices
- Ad hoc projects
Skills & Experience
- Bachelor's degree, equivalent experience, or combination of the two
- Minimum 2 years' related experience in industrial or commercial real estate corporate office
- Prior property management, general real estate, and/or accounting experience a plus
- Technically savvy, ERP experience, Intermediate to advanced MS Office (Excel, Word, Outlook)
- Yardi experience preferred
- Excellent written, verbal, interpersonal communication skills
- Demonstrated ability to provide superior levels of service to internal and external stakeholders
- Thrives in a fast-paced and continuously developing environment
- Exhibits strong interpersonal skills, communication and collaboration in a team environment
- Self-starter with superior analytical skills; a problem solver with an astute attention to detail
- Possesses good judgment, honesty, and utmost integrity
