Summary:

The Marin City Health and Wellness Center clinic manager is responsible for a wide range of operations and management over the clinic. The position acts to streamline the clinic’s overall efficiency and outcomes by providing, maintaining and improving the clinics systems and functions. The Clinic Manager is the quarterback of the Marin City Health & Wellness Center operation’s team of staff, contractors and volunteers. The Clinic Manager provides direction, inspiration and leadership to all the staff and is responsible for managing directly both front office and back office responsibilities.  The Clinic Manager facilitates support for the center’s providers in the day-to-day delivery of health care services to its patients in a culturally appropriate and sensitive matter. 

 

Essential Duties and Responsibilities:

  • Directs daily operations in the front and back office;
  • Manages day-to day operations of the health center;
  • Responsible for all HR matters related to the position’s team
  • Ensures the integrity of medical records and other administrative and operational records;
  • Directs staff meetings
  • Communicates with customers to ensure effective relay of information relevant to delivery of patient care and interacts with outside vendors for supplies and services.
  • Maintains an organized system of financial documentation and tracking mechanisms to ensure proper protocols are being followed;
  • Oversees patient scheduling, registration and posting of encounter data and facilitates patient flow;
  • Maintains confidentiality in all aspects of the job to ensure protection of privacy related issues;
  • Ensures staff is providing customer service focused telephone communications;
  • Conducts performance reviews, provides coaching and counseling to employees, and takes disciplinary action as necessary;
  • Interviews and hires for all areas of responsibility;
  • Research and develops resources that create timely and efficient workflows;
  • Develops and delivers ongoing training for the department in customer service skills and department policies and procedures;
  • Responsible for timecard administration, attendance tracking, and payroll for employees;
  • Understand of all aspects of insurances including Managed Care, Medi-Cal, and Medicare;
  • Ensures HIPPA and Corporate Compliance Regulations are implemented and followed by all staff members;
  • Support a clean comfortable and safe office environment
  • Partners with Medical, Dental, and Behavioral Health Directors in the supervision of the Medical Assistants, Dental Coordinators, and Behavioral Health Coordinators
  • Punctuality, regular, and reliable attendance
  • Performs other duties as directed, developed or assigned


Supervisory Responsibility:

  • Receptionists, Enrollment Counselor, Biller, QI & Data Coordinator, Records Custodian, Health Educator, Outreach Coordinators


Qualification Requirements:


Education and/or Experience:

  • Degree in Business, Public Health, or Hospital Administration preferred
  • 3-5 years’ experience as a Clinic Manager or similar role in a health care setting
  • Ability to work with diverse populations
  • Expertise in public relations and marketing communications, an asset
  • Computer experience with proficiency in Word, Excel, PowerPoint, Outlook
  • Experience in a community health center setting; working with underserved population preferred


Language Skill:

  • Excellent customer service and communication skills
  • Strong verbal, written, and interpersonal skills

 

Reasoning ability: 

  • Ability to problem solve and be self-motivated with acute attention to detail

 

Equipment/Machinery: Fax machine, copier, personal computer, telephone, calculator, Microsoft Word/Excel, EHR system and other software as required.

  1. Stand and walk or sit alternatively depending on specific needs of day. Estimate 40% of time is spent on feet and 60% sitting at desk.
  2. Have occasional need to perform the following physical activities: bend/stoop/squat, climb stairs, push or pull, reach above shoulders.
  3. Have occasional need to perform standing and walking activities.
  4. Constant need to perform the following physical activities: writing/typing, grasping/turning, finger dexterity.
  5. Lifting/carrying over 10 pounds occasionally. Lifting/carrying less than 10 pounds frequently.
  6. Vision requirements: constant need to complete forms, read reports, view computer screen.  Frequent need to see small detail.  Frequent need to see things clearly beyond arm's reach.
  7. Hearing requirements: constant need to communicate over telephone and in person.


TRAVEL REQUIREMENTS:  Occasional need to utilize personal transportation to conduct site visits, and attend meetings.
