Administrative Assistant - DTLA
Schedule: Monday to Friday - 8 am to 4:30 pm
Summary
Under the direct supervision of the Director of Permanent Housing Services and the Program Director Housing, DHS, the Administrative Assistant is a member of the agency’s administrative team and, as such, receives direction on occasion from other Senior Management staff.
Essential Duties & Responsibilities
- If directed, open and close the office each day at the designated time
- Assistant with the answering and routing of calls regarding client issues, staff needs, and donor requests if applicable.
- Cover answering phone, notifying us that a client is in the lobby of building and needs to be escorted up to the 7th floor when the office assistant is out or on break.
- Help to direct clients when necessary
- Greet and assist visitors and direct them appropriately
- Manage the calendar for appointments, van use, and office space/conference room use
- Mail packages using UPS, Fed-Ex, or USPS
- Pick up checks and equipment from Arlington Administrative office on a weekly bases or more frequently if directed.
- Support the office assistant with the receiving, sort, and distribute daily mail
- Order office supplies and manage supply inventory
- Keep copier area stocked with paper and clean
- Proofread written communication and documents when directed
- Assist Director with managing data pertaining to outcomes
- Assist in the preparation of PowerPoint, Excel and other documents
- Collect and input monthly stats
- Enter information into our HMIS and CHAMP databases when directed
- Provide support to office assistant throughout the day
- Provide coverage for office assistant during breaks and lunch.
- Other duties as assigned
- High School diploma or GED and at least two years’ Administrative/Office experience
- Detail-oriented with excellent time management, organizational, written, verbal, and computer skills, with exceptional phone etiquette
- Computer literacy, including knowledge of Microsoft Word, Outlook and Excel
- Knowledge of office management systems and procedures
- Demonstrated passion for the underserved in our community
- Bilingual English and Spanish preferred
