Job Description

Be a part of a world-class academic health-care system at UChicago Medicine as a Medical Equipment Planner.

 

 

The Equipment Planner is directly responsible for:

  • Coordinating and leading equipment planning efforts from inception to closeout, in accordance with University and UCM policies and procedures, for all strategic capital projects as well as specific clinical projects identified by the department.
  • Equipment throughout the entire life of the project spanning from Programming, Planning, Design, Procurement, Construction, warehousing, installation, training, sign off and up through the point of activation.

 

During the Programming Phase, the equipment planner shall develop a comprehensive understanding of functional and spatial requirements, clinical program requirements, standards, and policies and translate them into medical equipment requirements. This is accomplished by coordinating and facilitating user equipment meetings for every clinical client, on every project specified.

 

The Equipment Planner will...

  • Conduct research and provide medical equipment technical knowledge and will work to develop a medical equipment list for projects.
  • Observe all construction progress and prepare field observation reports.
  • Oversee and assist with review of work product provided by third party and will serve as equipment liaison between project team and third party resource.
  • Assist with management of the contracted resource by ensuring that UCM standards are maintained, and will participate in vendor-led equipment review sessions, in the event equipment planning services are contracted from third-party for a given project.
  • Conduct post-occupancy evaluation, and review of the client's use of space and equipment.
  • Document and track all vendor-supported training hours.
  • Participate in inspections, punch lists and project closeouts. 
  • Observe all construction progress and prepare field observation reports. 
  • Monitor and/or assist in the coordination of equipment delivery, installation and quality control.
  • Coordinate with contractors to review and respond to requests for information (RFIs) and contractor change orders. 
  • Be responsible reviews of equipment vendor drawings, along with shop drawings, equipment submittals, samples and mock-ups provided by architects, engineers, and consultants. 
  • Work with Logistics Coordinator to oversee the medical equipment procurement, equipment delivery and storage, equipment installation scheduling and warehouse management during the Procurement, Construction, and Warehousing Phase
  • Develop the project planning and management documents used by internal clients, architects, construction managers, equipment vendors and project representatives to execute projects during the Planning and Design Phase
  • Work with the project team to: develop, update, and manage equipment budgets for all projects throughout the project life cycle. This includes the evaluation of all equipment vendors, general contractor and construction manager bids, and project budgets. The documents may include: space organization diagrams, functional concept plans, room equipment sheets, room data sheets, equipment and/or room layouts, work flows, electromechanical and structural requirements, medical equipment lists, specifications, and pre-installation requirements. 

Required Qualifications

  • Bachelor's degree in Architecture, Interior Design, Biomedical or Clinical Engineering, or a medical related field preferred

  • 5 to 10 years of medical equipment planning experience, to include all phases of medical planning and knowledge of space programming for large healthcare facilities projects, and familiarity with advanced protocols of patient care, healing environments and evidenced based design

  • Candidate must possess a detailed and up to date knowledge of progressive technical and regulatory requirements for healthcare facilities planning, design, and construction.

  • Candidate must possess the experience and understanding of fundamental departmental organization and functionality, and must have the ability to coordinate and facilitate clinical end users through the equipment planning process. Additionally, the candidate requires the experience in analyzing construction cost and construction schedules, knowledge of the importance of data for management problems, and the ability to provide analysis (specific data) to answer questions.

  • Candidate must possess a working knowledge of construction requirements in hospital, research or educational laboratories, or related commercial or industrial facilities involving specialized processes, procedure rooms and systems.

  • Candidate must possess excellent written and oral communication skills; have the ability to speak articulately in high level forums and to answer difficult questions with confidence and acumen.

  • Requires ability to work independently identifying best approaches to problems/questions and determine when to seek outside or more senior advice.

  • The candidate must possess prior experience in managing multiple projects and working effectively in multidisciplinary groups. Past experience working with Architects, Engineers, contractors and sub-contractors is preferred.

  • This position requires a high degree of computer competency, including familiarity with word processing, spreadsheet, AutoCAD skills, an understanding of BIM/REVIT, and database management programs and must have proficiency with the full Microsoft Office Suite as well as requires a working knowledge and proficiency with Attania software.
