We currently have a unique opportunity for an Administrative Coordinator to support the cutting-edge research laboratory of Dr. Stephen Elledge at Brigham & Women's Hospital/Harvard Medical School. The position will work collaboratively with both Dr. Elledge, a world-renowned researcher studying cancer biology and immunology, and his team of 24 lab members. The laboratory is a leader in the development of genetic technologies to aid in gene and drug discovery. More information on the lab can be found on their website.
We are targeting someone who enjoys working independently and proactively anticipating the needs of their team. This role is an integral part of the lab and will be responsible for supporting the Investigator with calendaring, travel, and other administrative responsibilities - in addition to assisting with a significant grants portfolio and interacting with multiple institutions to help further the group's research efforts.
The Elledge lab has flexibility to allow the chosen candidate to have some remote work if desired.
What You Will Do:
- Provide administrative support to the Investigator
- Manage the calendar and coordinate complex scheduling, including internal and external meetings, conferences, professional engagements, and travel for the Investigator
- Coordinate domestic and international travel arrangements and prepare detailed travel itineraries
- Organize weekly laboratory meetings, special seminars, and laboratory outings
- Oversee budgets from multiple funding sources and advise Investigator in best use of available support. Participate in ordering of supplies, services and equipment. Track and manage service contracts and repairs on laboratory equipment.
- Organize video conference calls for international consortium of collaborators
- Ensure that deadlines for grant application submissions and progress reports are met.
- Serve as key liaison with the Harvard departments, HHMI, and various grant organizations
- Draft letters and correspondence
- Process and track reimbursements from multiple sources for Investigator, laboratory members and visiting scientists
- Work with researchers on visa and academic appointment issues
- Manage lab meeting schedule
- Prepare, track and monitor material transfer agreements and scientific protocols.
- Keep laboratory website updated
- Serve as a liaison between investigator and various administrative offices
What You Bring:
- B.A./B.S. or A.S. and equivalent experience in a research and/or academic environment
- Strong writing and computer skills, including demonstrated proficiency with the Mac platform and Microsoft Office applications
- Excellent communication skills and the ability to use good judgment in working independently, showing initiative, managing deadlines and responding to inquiries
- Familiarity with grants management and scientific terminology
Physical Requirements
Remaining in a normal seated or standing position for extended periods of time; reaching and grasping by extending hand(s) or arm(s); dexterity to manipulate objects with fingers, for example using a keyboard; communication skills using the spoken word; ability to see and hear within normal parameters; ability to move about workspace. The position requires mobility, including the ability to move materials weighing up to several pounds (such as a laptop computer or tablet).
