Senior Travel and Administrative Operations Specialist

Savvee Inc. is seeking a detail-oriented Senior Travel and Administrative Operations Specialist to support our federal client in a hybrid environment in Washington, DC. The ideal candidate will serve as the Concur SME to independently manage complex domestic and international travel for senior leadership and ensure compliance with federal travel policies and procedures. They will also provide high-level administrative and operational support, maintain critical documentation and records, improve processes, and proactively resolve issues in a fast-paced environment.

Essential Functions

  • Serving as the organization's Subject Matter Expert (SME) for Concur Travel and Expense Management and all travel-related processes.
  • Acting as the primary liaison between senior leadership and travel service providers to ensure seamless travel planning and execution.
  • Independently coordinating complex domestic and international travel arrangements, including airfare, lodging, rental vehicles, ground transportation, and itinerary management.
  • Proactively managing travel disruptions, schedule changes, cancellations, and last-minute requests while ensuring leadership travel requirements are met.
  • Preparing, reviewing, reconciling, and submitting travel authorizations, vouchers, and expense reports in accordance with applicable policies and procedures.
  • Ensuring all travel arrangements comply with federal travel regulations, client requirements, and organizational policies.
  • Developing, maintaining, and improving travel-related Standard Operating Procedures (SOPs), desk guides, checklists, and workflow documentation.
  • Identifying opportunities to improve travel operations, efficiency, customer service, and compliance.
  • Building and maintaining trusted working relationships with senior executives and providing high-touch customer support.
  • Anticipating leadership needs and proactively resolving issues before they impact travel or mission requirements.
  • Supporting onboarding and offboarding activities, including coordination of personnel processing, access requests, equipment needs, and administrative documentation.
  • Maintaining accurate records, trackers, and reports related to travel, personnel actions, and operational activities.
  • Coordinating with internal stakeholders to ensure administrative and personnel actions are completed accurately and on time.
  • Assisting leadership with special projects, meeting coordination, scheduling activities, and other operational support requirements.
  • Exercising sound judgment, discretion, and professionalism when handling sensitive or confidential information.
  • Working independently with minimal supervision while managing multiple priorities in a fast-paced environment.
  • Performing additional duties as assigned in support of evolving contract requirements and client needs.
  • Understanding the organizational policies and procedures for accuracy of solutions and deliverables to the client.
  • Demonstrating a commitment to quality and customer support.

Required Education and Training

  • High School Diploma or equivalent

Minimum Experience and Skills Required

  • Five or more years of experience supporting executive leadership, travel operations, administrative operations, or related functions
  • Demonstrated expertise with Concur Travel and Expense Management
  • Experience supporting senior executives, directors, SES personnel, or other high-level leadership
  • Experience developing SOPs, process documentation, and workflow procedures
  • Strong organizational, communication, and customer service skills
  • Must have the ability to obtain the client's Public Trust clearance
  • A proficiency in utilizing MS Office products
  • Proven familiarity with Artificial Intelligence (AI) concepts and responsible use of AI-assisted tools
  • Excellent written and verbal communication skills
  • A highly motivated self-starter
  • Must be motivated and have excellent customer service skills
