Virtual Operations Assistants are remote professionals who support businesses with a range of operational tasks, such as scheduling, data entry, project coordination, and process management. They use digital tools to streamline workflows, manage communications, and help organizations run smoothly without being physically present in the office. Their role is especially valuable for companies looking to improve efficiency and reduce overhead costs by outsourcing administrative and operational work. Virtual Operations Assistants often have strong organizational skills and are adept at using cloud-based software and collaboration platforms.

What are the key skills and qualifications needed to thrive as a Virtual Operations Assistant, and why are they important?

To thrive as a Virtual Operations Assistant, you need strong organizational skills, attention to detail, and experience with administrative tasks, often supported by a background in business or office administration. Familiarity with digital collaboration tools like Slack, Trello, Google Workspace, and scheduling or CRM software is typically required. Excellent communication, time management, and problem-solving abilities help you stand out in this remote role. Mastering these skills ensures smooth workflow, efficient task management, and reliable support to distributed teams and leadership.

Job description

About the Health and Reentry Project (HARP)
Access to health care is vital for successful second chances, yet many people returning to communities after incarceration do not get care when they need it. The Health and Reentry Project (HARP) is a growing national nonprofit organization that builds safer, healthier communities by improving access to health care for people leaving incarceration. One of HARP's central priorities is providing technical assistance to states, local governments, correctional facilities, and community organizations to ensure that health and reentry policies are successfully implemented. You can learn more about HARP and our work at our website.
The Opportunity
HARP is seeking a detail-oriented and proactive Program and Operations Assistant to support the needs of our growing team. Reporting to the Chief Operating Officer, the work of this core team member will be essential to keeping HARP's programs, processes, and schedules running smoothly. This is a great opportunity for someone who thrives in a fast-paced, high-impact environment, takes pride in staying organized, and wants to contribute to meaningful work at the intersection of health care and public safety.
Responsibilities
Scheduling
  • Manage the schedule of HARP Executive Director and other executive team members
  • Coordinate meetings for HARP team members, key consultants, and advisory bodies

Meetings & Events
  • Take meeting notes and tracking key follow up items
  • Manage logistics for in person and virtual meetings and events
  • Support travel planning for HARP team members, including booking of air travel and hotel accommodations and supporting submission of expense report

Internal and External Communication
  • Support onboarding of new vendors, consultants, and staff
  • Communicate with HARP's Board of Directors and Advisory Committee as well as external partners and stakeholders

Operations
  • Maintain organizational documents (e.g. charters, organization charts, etc.)
  • Manage internal project management and tracking tools (e.g. contact lists and tools for tracking key conferences, events, and accomplishments)
  • Support development and implementation of operational policies and procedures
  • Other administrative support as needed

Qualifications and Experience
  • 3+ years of experience working in an administrative or operations capacity; nonprofit, policy, or government experience required
  • Outstanding organizational skills and a track record of working independently on projects while supporting team projects and collaborative work
  • Maintain confidentiality and handle sensitive information with discretion.
  • Proficient with Google suite, Microsoft office, Zoom, and LinkedIn
  • Experience with Asana or similar project management tools
  • Ability to communicate with a broad range of stakeholders including senior-level professionals, national experts, policymakers with a range of political perspectives, people who have been incarcerated and staff who have worked in corrections, among others, with a high level of professionalism.
  • Interest and/or experience, including lived expertise, in policy related to incarceration, corrections, public safety, and/or the role health care plays for people who are leaving incarceration
  • Capable of working in a fast-paced, deadline-driven, growth-oriented, remote work environment
  • Ability to travel for occasional in-person staff meetings

HARP is a small, but growing, team that values team members who:
  • Are organized, detail oriented, results-focused and thrive in a work culture that prioritizes growth and learning.
  • Can think strategically, analytically and creatively and adjust to changing circumstances in a rapidly growing nonprofit.
  • Can maintain good humor and a positive attitude while juggling multiple priorities and meeting deadlines.
  • Can express ideas clearly and concisely both in writing and orally.
  • Are self-motivated and able to work independently on a small team in a remote work environment.
  • Are committed to creating an environment that values sharing and learning from diverse perspectives and experiences.
