Job description

Description This is a responsible position requiring some independent judgment, involving the verification of delivery receipts against the purchase order. Requires accurate record keeping and organizational skills. Involves varied typing duties, data entry and other clerical duties as they relate to the overall function of purchasing and property control.

Examples of Duties Duties: A. Abide by the "Law Enforcement Code of Ethics." B. Assist the Purchasing/Property Control Director by researching and resolving a variety of inquiries and problems that arise daily, and by bringing unusual problems and administrative matters to the attention of the Director

C. Verify all incoming invoices and packing slips for accuracy and forward all related paperwork to the Fiscal Division. D.

Maintain updated vendor application list. E. Type purchase orders and distribute copies to the Fiscal Division and the requisitioning division or unit.

F. E-mail or fax purchase orders to vendors as necessary. G.

Place all orders for Agency name tags and desk plates. H. Follow-up on purchase orders as necessary.

I. Maintain files on all purchase orders and requisitions. J.

Place orders for meat products and canned goods as necessary. K. Assist with all incoming calls to the Purchasing Division as necessary.

L. Work closely with the Fiscal Division to resolve discrepancies on receiving tickets and invoices for merchandise received. M.

Perform other related duties, as assigned, including modified schedule or temporary re-assignment during declared emergency or activations, as determined by the Sheriff. Typical Qualifications JOB PREREQUISITES: High school diploma or G.E.D. A minimum of one year experience in the purchasing field

Ability to perform general office skills and type a minimum of 35 correct words per minute. Ability to work harmoniously with the public, outside vendors, and other Agency employees. Ability to follow instructions and organize own work with minimal supervision.

Ability to use a computer for data entry and retrieval of records. Ability to maintain accurate records. Proficient in English grammar, spelling, and punctuation.

DESIRABLE SKILLS AND KNOWLEDGE: Working knowledge of purchasing methods and procedures. Working knowledge of general office procedures, practices and equipment. Supplemental Information WORKING CONDITIONS: Normal office environment.

A major portion of work is data entry of purchase orders. May be required to work outdoors for temporary periods during annual inventory or other special events. Normal daytime hours, but must be willing to work overtime if required.

ADA: Physical and dexterity requirements: Requires light work that involves walking or standing, exerting up to twenty (20) pounds of force on a recurring basis; the ability to sit at a desk and view a display screen for extended periods of time, the ability to lift, carry, push, or pull items up to ten (10) pounds; routine keyboarding operations. Environmental hazards: This job risks exposure to office related dust, fumes and odors. Sensory requirements: This job requires normal visual acuity and field of vision, hearing and speaking.
