About the Role

We are seeking a detail-oriented and organized Staff Accountant to support financial operations through project accounting, payroll administration, general ledger management, and day-to-day accounting functions. This role is responsible for maintaining accurate financial records, supporting project cost tracking and reporting, processing payroll, assisting with financial close activities, and ensuring the integrity of financial data. The ideal candidate will possess strong analytical skills, excellent attention to detail, and the ability to work collaboratively across departments.

Job Duties

Project Accounting

  • Track and manage project budgets, costs, revenue, and profitability.
  • Monitor project financial performance and prepare project-specific financial reports.
  • Review and reconcile project-related expenses and invoices.
  • Collaborate with project managers to ensure accurate job costing and budget compliance.
  • Utilize HRIS (Paycom) reporting to ensure accuracy and support project management team.
  • Assist with project forecasting, billing, and revenue recognition processes.
  • Set up projects and assign project profiles to employees in the company’s HRIS (Paycom).

Payroll Administration

  • Process bi-weekly payroll accurately and on time.
  • Maintain payroll records and ensure compliance with federal, state, and local regulations.
  • Review timesheets, deductions, benefits, garnishments, and payroll adjustments.
  • Coordinate with HR regarding employee changes, benefits, and payroll inquiries.
  • Prepare payroll reports and assist with audits as needed.
  • Set up and ensure compliance with multi-state payroll requirements

General Ledger (GL) Management

  • Maintain and reconcile general ledger accounts.
  • Prepare and post journal entries accurately and timely.
  • Review financial transactions to ensure proper account coding and compliance with accounting standards.
  • Assist with month-end and year-end close processes.
  • Analyze GL activity, investigate discrepancies, and resolve issues as needed.
  • Support financial reporting and ensure accuracy of account balances.

General Staff Accountant Duties

  • Perform bank, credit card, and balance sheet reconciliations.
  • Assist with accounts payable and accounts receivable processes as needed.
  • Prepare supporting schedules and documentation for audits.
  • Maintain accurate financial records and supporting documentation.
  • Assist in preparing monthly, quarterly, and annual financial reports.
  • Support budgeting and forecasting activities.
  • Ensure compliance with company policies, procedures, and accounting standards.
  • Identify opportunities for process improvements and increased efficiency.
  • Collaborate with internal departments to support financial operations and reporting needs.

Qualifications

  • Bachelor’s degree in Accounting required.
  • Candidate preparing to sit for CPA exams is preferred.
  • 3+ years of accounting experience, including payroll/labor allocation and project accounting experience.
  • Strong understanding of general accounting principles and payroll practices.
  • Experience working with general ledger functions and reconciliations.
  • Proficiency in accounting software and Microsoft Excel.
  • Excellent organizational, analytical, and communication skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Experience in construction, project-based, or multi-entity accounting environments preferred.
  • Familiarity with ERP/accounting systems such as NetSuite or similar.
  • Payroll certification or accounting certification is preferred.
