Job description

Position Summary

The Operations Associate, supervised by the Director of Operations, is a crucial part of the team. This role supports the daily operations of our school performing administrative tasks which allow communication to flow between the school and families. The Operations Associate supports students, families, and staff and is essential to creating an optimal environment for learning and growth.

Essential Responsibilities

  • Promote the implementation of operational systems that enhance teaching and learning by ensuring effectiveness and efficiency.
  • Reinforce essential protocols and logistics for daily operations, including arrival, transitions, and dismissal routines, as well as school events and activities such as after-school and special programs, field trips, and assemblies.
  • Contribute as a valuable team member who actively supports the operations' tasks and goals.
  • Promotes and maintains safety protocols for the well-being of staff, students, and families.
  • Strengthen familial connections by proficiently communicating through ParentSquare, the school operations email, and various communication channels.
  • Supports the coordination of all student recruitment and enrollment activities, encompassing open houses, the annual lottery, waitlist management, orientation programs, and registration procedures.
  • Receives and records all packages in the finance system while ensuring adherence to network fiscal policies and procedures.
  • Serve as a backup of the day-to-day operations of the meals program, including meal ordering, coordination with meal attendants, administration of the fresh fruits and vegetables program, and ensuring compliance with meal standards. Serves as the backup to the meal attendant.
  • Manage student information platforms such as PowerSchool, ATS, and ParentSquare, which play a crucial role in facilitating school operations.
  • Perform a variety of administrative support tasks to streamline daily operations, including managing mail, responding to phone calls, distributing supplies to teachers, and collecting documents. Supports the planning of field trips and the receiving of packages in the procurement process.

Minimum Experience and Qualifications 

  • High School Diploma / GED.
  • 1 Year Operations Associate experience in NYC School.
  • Use of student information systems to report, track, and monitor enrollment, and attendance and ensure compliance and funding (e.g. ATS, PowerSchool).
  • Familiarity with purchasing, procuring, and inventorying a broad range of materials and resources.
  • Comfort utilizing technology to communicate, track, and organize work and information (e.g. Google Suite, documents, spreadsheets).
  • Ability to thrive in a fast-paced, results-oriented environment; flexible, able to work autonomously as well as on a team and to take direction as needed.
  • Strong attention to detail; able to develop and maintain organizational and documentation systems.
  • A deep sense of ownership and responsibility.
  • Excellent interpersonal and communication skills
  • Completion and clearance in pre-employment Fingerprinting and Reference check process.
  • Legally eligible to work in the United States.
  • Perform other duties as assigned.

Preferred Experience and Qualifications

  • Associates Degree.
  • 2 years experience as an operations associate, in a school environment.
  • Familiarity with purchasing, procuring, and inventorying a broad range of materials and resources.
  • Possess NYC Food Protection Certification.
  • Possess CPR, First Aid, AED Certification.
  • Ability to speak, write, and understand Spanish.

Work Schedule

  • 12-month work schedule
  • Hours 8:00am - 4:00pm.

Work Environment/Physical Effort:  

  • Regularly required to sit, stand for long periods of time, walk, climb stairs, speak loudly and clearly, visually observe, hear, operate a computer, and other classroom, school, and office equipment, reach with hands and arms, bend down, and must occasionally lift, move and/or support up to 20 pounds. Work is being performed in a traditional multi-floor school environment with limited to no elevator access.

Compensation

Amber Charter Schools strictly follow a salary schedule for each role to ensure our continued commitment towards pay equity. The expected salary range for this role is $52,500k -$55,697k, depending on verified relevant work experience, the highest level of completed education, and required certifications and/or licenses for the role. This is a non exempt position.
