Job description

POSITION SUMMARY

The Operations Associate is an essential member of the Operations department. Under the supervision of different professionals, Operations Associates perform a variety of tasks,including billing, administrative support for Tax, Audit, and CAS,tax return processing, audit compilation proofing/processing,front desk support, management of inbound calls, and some client communication. THIS IS AN ON-SITE ROLE IN AUSTIN, TEXAS.

ESSENTIAL FUNCTIONS

  • Createsand updatesdue date reports for departments and teamsas pertinent deadlines approach.
  • Creates, edits, and/or removes new tasks in Workflow software as requested by the Firm leadership.
  • Troubleshoots due date report errors and/or provides different or more detailed information when requested.
  • Prepares list of clients with outstanding information, and as directed, calls clients to follow up on tax organizers e-filing signature consents for tax returns, and/or other time-sensitive materials.
  • Prepares client lists and manages the process, beginning to end, for distributing tax organizers and annual arrangement letters to clients.
  • Attends Operations Department and related meetings as assigned.Takes notes and reports any tasks assigned to the Operations Team.
  • Attends training as assigned to improve individual proficiencies and knowledge of updates to technology used by the Firm.
  • Supports the Project Manager on major updates or rollouts of new and/or existing technology or processes.
  • Researches and stays current on updates released for firm related software by completing all mandatory trainings and regularly practicing new skills.
  • Managesthe electronic delivery, extending, and filing of deliverables year-round.
  • PreparesCPE material and workswith thenecessary Stafftofacilitatethe event and conduct polling as needed.
  • Monitors and completes requests that come in through the Admin staff inbox as assigned.
  • Readies client data for workpapers that support the work of the Tax, Audit, or CAS Staff, including the Autoflow process & sending emails to clients with missing information, via the CPA mailbox.
  • Responds to ad hoc document requests, including but not limited to POAs, change of address forms and engagement letters.
  • Serves as a first point of contact to guests who visit the office, offering them refreshments and ensuring the reserved meeting space is in order.
  • Manages certified mail requests and ensures the delivery of certified mail to the Post Office.
  • Other duties, as assigned, by the Operations Coordinator or Lead Partner.

SKILLS AND ABILITIES

Education

Associate's degreerequired;bachelor's degreepreferred.

Experience

Two to fouryears of experienceinan Operations or Paraprofessional role, preferably in a public accounting environment. Heavy Excel experience and proven proficiency in BI platforms/data analytics is strongly preferred.

Computer Skills

Proficiencywitha Microsoft 365 environment, keyboard, mouse, multiple monitors, laptop computers, copiers, scanners, and printers.

Certificates & Licenses

CompTIA A+, Network+, Security+, Microsoft 365 Certified: Fundamentals, BI Certifications

Other Requirements

Microsoft Office/365Applications, including Outlook, Word,Excel,Sharepoint, OneDrive, and Teams.Experience withQuickbooks,CCHAxcess,IDEA,CCHDocument,Adobe, Depreciation Solutions,andCasewareare preferred.


The compensation for this position is $30.00-$35.00 per hour.
