The Shipping Clerk is responsible for coordinating and processing outbound shipments to customers using parcel carriers, freight carriers, and customer-designated transportation providers. This role ensures shipments are accurately prepared, documented, and scheduled while maintaining strong communication with customers, carriers, and internal departments. The ideal candidate is highly organized, detail-oriented, and experienced in shipping logistics and transportation coordination.

Essential Duties & Responsibilities

Shipping & Logistics Coordination

  • Process daily shipments utilizing FedEx, UPS, and common carriers.
  • Prepare shipping documentation, bills of lading, labels, packing lists, and other required paperwork.
  • Coordinate and schedule outbound freight shipments to meet customer delivery requirements.
  • Verify shipment accuracy, quantities, and packaging prior to release.
  • Track shipments and provide delivery status updates when needed.

Customer Portal Management

  • Manage customer-specific shipping and routing requirements.
  • Schedule and preload shipments through customer transportation and logistics portals.
  • Ensure all shipment information is entered accurately and submitted within required timelines.
  • Coordinate with customer transportation departments to resolve shipping issues and scheduling concerns.

Freight & Carrier Coordination

  • Arrange shipments with truck lines and freight carriers.
  • Communicate with carriers regarding pickup schedules, freight availability, and delivery requirements.
  • Monitor carrier performance and assist with freight claim documentation when necessary.
  • Ensure compliance with customer routing guides and shipping instructions.

Inventory & Documentation

  • Maintain accurate shipping records and documentation.
  • Verify inventory availability and coordinate with warehouse personnel to ensure timely shipment preparation.
  • Assist with cycle counts and inventory reconciliation as needed.
  • Maintain organized records of shipments, freight charges, and transportation documentation.

Customer Service & Administrative Support

  • Serve as a point of contact for shipping-related customer inquiries.
  • Communicate shipment schedules and updates to customers and internal departments.
  • Assist sales, customer service, and warehouse teams with shipping and logistics information.
  • Support continuous improvement efforts related to shipping processes and customer satisfaction.

Qualifications

  • High School Diploma or GED required.
  • Previous experience in shipping, logistics, transportation coordination, or warehouse operations preferred.
  • Experience with FedEx, UPS, LTL, and common carrier shipping processes.
  • Experience using customer portals and transportation management systems preferred.
