Job description

The Sales Operations Specialist plays a pivotal role in supporting the sales organization through quote management, deal structuring, and operational excellence. This position is responsible for reviewing and building quotes, ensuring pricing accuracy and policy compliance, and collaborating with sales, finance, and legal teams to structure complex deals. Additionally, the Analyst oversees the delivery of license files, distribution of purchase orders, and intake of incoming cases within the organization. This position maintains effective communication with various stakeholders, provides Salesforce support to sales teams, and ensures streamlined processes across quote-to-cash workflows. The Analyst is also responsible for documenting processes and continuously improving operational efficiency in these areas.

KEY RESPONSIBILITIES

  • Oversight of License File Delivery, PO Distribution, and Case Intake:
    • Manage and oversee the entire process of delivering license files to customers.
    • Ensure accurate and timely distribution of purchase orders to relevant departments.
    • Efficiently handle the intake of incoming cases, including logging, prioritizing, and assigning them to the appropriate teams or individuals
  • Stakeholder Communication:
    • Keep internal and external stakeholders informed about the status of license file deliveries, PO distributions, and case intakes.
    • Act as a central point of contact for inquiries related to these processes, providing timely updates and resolution of issues.
  • Sales Team Support:
    • Collaborate closely with the sales team to support their activities within Salesforce
    • Assist in tasks such as quoting, deal closing, and maintaining accurate customer records.
    • Provide guidance and training to sales team members on Salesforce-related tasks and processes.
  • Deal Desk & Quote Management:
    • Review and approve quotes for accuracy, pricing compliance, and alignment with company policies.
    • Assist sales team in building complex quotes, including multi-product configurations, discount approvals, and non-standard terms.
    • Collaborate with sales, finance, and legal teams to structure deals and resolve pricing or contractual issues.
    • Ensure quote accuracy in Salesforce, including proper product selection, term lengths, and billing arrangements.
  • Documentation and Process Improvement:
    • Create and maintain detailed documentation of procedures related to license file delivery, PO distribution, and case intake.
    • Identify opportunities for process improvements and efficiency gains in these areas.
    • Implement and communicate improvements to enhance the overall workflow.

Requirements

  • Bachelor's degree in Business, Finance, or a related field or equivalent experience
  • Experience reviewing or building quotes, processing orders, or supporting sales teams
  • Familiarity with CRM systems (Salesforce preferred) and CPQ (Configure, Price, Quote) tools
  • Basic understanding of sales processes, quoting workflows, and contract terms
  • Strong attention to detail and ability to work with data in spreadsheets (e.g., Excel, Google Sheets)
  • Excellent written and verbal communication skills, with the ability to clearly explain quotes, pricing, and processes to sales teams and stakeholders
  • High ethical standards and the ability to handle sensitive pricing and customer information confidentially
  • Strong problem-solving abilities and eagerness to learn complex deal structures and pricing models
  • Ability to manage multiple priorities and work effectively in a fast-paced environment
