Job description

Position Title: Sales Operations Specialist
Department: Sales
Reports To: Executive Vice President of Sales (EVP of Sales)
FLSA: Non-Exempt


Position Summary
The Sales Operations Specialist supports the operational processes and systems that enable the Salesteam to operate effectively. This role supports CRM maintenance and ongoing improvements,RFP/RFI/RFQ coordination, contract activities, and lead and pipeline workflows, ensuring work followsinternal processes and company standards. Partnering with sales leadership and cross-functional teams,the Specialist delivers accurate data and on-time insights that improve forecasting and deal execution. Therole uses AI, automation, and data intelligence to reduce manual work and support improved sales
performance and forecasting accuracy.


Essential Duties & Responsibilities

  • Sales & CRM Support
    • Maintain accurate and up-to-date CRM records and support data quality standards
    • Assist with sales dashboards, reports, and basic pipeline tracking
    • Assist in identifying data trends and inconsistencies to support sales decision-making
  • Lead Management
    • Support inbound and outbound lead workflows, including qualification and routing
    • Assist with lead generation and prospecting initiatives
    • Track lead activity and conversion metrics to support sales follow-up and processimprovements
  • Proposal & Documentation Support
    • Assist with the preparation and coordination of RFP, RFI, and RFQ responses
    • Gather required information from internal teams and organize proposal materials
    • Maintain standard proposal content and documentation
    • Track proposal timelines and ensure on-time completion of submissions
  • Sales Operations
    • Support contract tracking, documentation, and renewal reminders in coordination withinternal stakeholders
    • Assist with sales reporting, activity tracking, and process documentation
    • Contribute to improving efficiency through standardized sales processes, documentation,and tools

Qualifications & Requirements

Education, Licenses/Certifications

  • Bachelor's degree in business, Marketing, or related field (or equivalent experience)


Experience

  • 3+ years of experience in sales operations, revenue operations, contract management, orsimilar role
  • Experience in B2B, healthcare, technology, or professional services environments.
  • Experience using AI-enabled tools within CRM, sales, or administrative platforms tosupport efficiency, reporting, or daily workflows preferred.
  • Experience supporting lead management, sales reporting, or proposal coordinationpreferred.

  • Strong organizational skills with attention to detail and accuracy
  • Clear written and verbal communication skills, with the ability to collaborate across teams
  • Ability to manage multiple priorities, meet deadlines, and adapt in a fast-pacedenvironment
