About the role
The Leasing Operations Coordinator is responsible for managing lease documentation, billing setup, contract administration, and funding activities for both Revco and third-party leasing programs. This role serves as a key liaison between sales, accounting, leasing partners, and customers to ensure lease transactions are processed accurately, billed timely, and maintained in company systems. The ideal candidate is detail-oriented, highly organized, and able to manage multiple priorities in a fast-paced environment.
Essential Duties and Responsibilities
Lease Administration
  • Generate lease agreements and supporting documentation by validating contract attributes and customer information.
  • Create lease amendment documents and maintain accurate records within Salesforce and other internal systems.
  • Track document execution through DocuSign and ensure fully executed agreements are properly stored.
  • Review and enter new leases and amendments into internal lease management systems, ensuring accuracy and completeness.
  • Configure new lease contracts for customer billing and applicable document fees.
  • Prepare and distribute special lease-related documents requiring customer signatures.

Billing and Funding Operations
  • Calculate lease charges and billing amounts for new contracts and amendments.
  • Enter billing information into internal spreadsheets, Salesforce, and related systems.
  • Review billing transactions for accuracy prior to submission to Accounts Receivable.
  • Coordinate funding activities for third-party lease transactions, including:
    • Determining funding requirements.
    • Calculating amounts due between leasing partners and the company.
    • Identifying when additional funding is required.
    • Coordinating payments to leasing companies or customers as appropriate.
  • Enter accounts payable invoices related to equipment financing and leasing transactions.

Third-Party Lease Support
  • Manage billing timelines for third-party lease agreements.
  • Monitor and obtain outstanding signed lease documents to ensure timely processing.
  • Provide backup support for third-party leasing operations.
  • Respond to customer inquiries regarding third-party lease agreements and billing.

Sales and Customer Support
  • Support Account Executives by:
    • Answering lease-related questions.
    • Verifying required documentation has been submitted for billing.
    • Preparing documents for electronic signature through DocuSign.
    • Updating payoff requests within Salesforce.
    • Communicating customer payoff requests and status updates.
    • Gathering and providing information requested by sales representatives.
  • Assist with special accounts, unique transactions, and other projects as needed.

Qualifications
  • Associate degree in Business, Accounting, Finance, or related field preferred; equivalent experience will be considered.
  • 2+ years of experience in lease administration, finance operations, contract administration, billing, or a related field preferred.
  • Experience with Salesforce, DocuSign, Microsoft Excel, and ERP/accounting systems preferred.
  • Strong attention to detail with the ability to review and validate financial and contract information.
  • Excellent organizational and time-management skills.
  • Ability to manage multiple projects and meet deadlines.
  • Strong written and verbal communication skills.
