Program Manager
An experienced Program Manager (PM) with impeccable communication and critical thinking skills is sought to help Grant Engine realize non-dilutive funding awards on behalf of our clients. We assist our clients in the development and communication of a winning grant submission. We also hone the quantitative differentiators of a product versus standard of care or state of the art. With our unique approach, we add value to our clients in a multi-faceted manner.
The PM role will develop and maintain relationships with new and existing industry-focused clients. We seek individuals who prioritize client happiness and who can ensure client needs are met. The PM owns the execution of assigned projects in alignment with Grant Engine’s key goals. In this role, the PM leads and manages the full range of activities required to conceptualize, prepare, submit, and manage grant proposals to NIH, NSF, DoD, and other government agencies, interfacing with executives, scientists, contract research organizations, and internal Grant Engine personnel effectively and efficiently. They manage milestones, timelines, and expectations, and ensure the delivery team produces the highest quality written scientific documents for funding awards. A key element of success is identifying risks to project success before they occur and eliminating or mitigating those problems before they materialize. The PM also contributes to a culture of teamwork, learning, and professional development by maintaining clear communication with internal teams and clients, and by sharing insights and lessons learned from proposal delivery to support continuous improvement and collective team knowledge.

· Own the full lifecycle of proposal delivery, from the sales handoff through submission and post-submission activities.
· Efficiently track every project’s performance across the full span of delivery: sales handoff, client kickoff, project delivery, submission, and post-score activities.
· Conduct regular (typically weekly) client calls to align on strategy, proposal progress, deadlines, and expectations.
· Ensure consistent use of internal project management systems (Falcon) to maintain transparency and visibility into project status.
· Ensure internal readiness and on-time delivery, meeting all internal deadlines and preparing proposals for internal reviews and submission checks.
· Use key client management tools as needed, and early, to proactively identify and address risks to client success or satisfaction.
Client Portfolio Management
· Manage an assigned portfolio of clients to ensure consistent visibility into funding opportunities, proposal pipelines, and product strategy.
· Advise clients on go / no-go decisions by maintaining continuous awareness of funding trends, agency priorities, competitiveness, and strategic alignment with upcoming opportunities.
· Conduct strategic client discussions with all clients at least twice annually to understand changes in technology, company trajectory, and strategic priorities.
· Conduct quarterly solicitation searches to identify relevant funding opportunities aligned with client technologies and strategic priorities.
· Maintain and update each client’s product funding roadmap, mapping technology development stages to appropriate funding mechanisms.
· Maintain visibility into and assist (when needed) with required company registrations (e.g., SAM.gov, eRA Commons, Grants.gov, SBIR.gov) to ensure proposal eligibility and submission readiness.
· Coordinate with internal teams to ensure a smooth sales handoff, onboarding, and proposal execution.
· Serve as the primary liaison with Grant Engine clients and represent the Company in all interactions with new and existing clients, ensuring the highest level of satisfaction throughout their relationship with Grant Engine.
· Partner with the CEO and Marketing team on marketing, business development, and client satisfaction strategies, and participate in selected prospective client meetings.
Adaptability and Continuous Improvement
· Maintain awareness of and familiarity with the evolving federal funding landscape, including shifts in agency priorities, program structures, compliance requirements, solicitation mechanisms, and funding availability.
· Demonstrate adaptability by adjusting proposal strategies, target agencies, client guidance, and project execution in response to changing sponsor expectations and policy environments.
· Contribute to continuous improvement by identifying emerging trends, sharing insights with the team, and helping incorporate new best practices that improve proposal competitiveness and delivery efficiency.
Necessary Qualifications:
· 5 years or more experience in project management, client management amp; relations in a technology-related field or professional services firm
· Demonstrated track record of excellent client management skills
· Experience working with new technologies and government grants experience is preferred
o Passion for advancing innovative technologies from conception to commercialization
· Proven track record of managing industry clients in a milestone-driven environment
· Proven experience in scientific and technical writing; experience either writing or funding a broad array of non-dilutive (SBIR, ARPA-H, OTA, CMDPR, foundations, state-based) proposals, in the NIH, DoD, Foundations, and other sources as well as experience with other funding mechanisms is preferred.
