Job description

Location & Remote Flexibility

Service Scope:

Direct the day-to-day tactical work assignments, tracking logistics, and administrative priorities for the Project Coordinators supporting the team.

Manage, configure, and optimize enterprise project tracking platforms (specifically Asana) to preserve absolute visibility into project health, program timelines, and milestone completion.

Administer the formal tracking and status reporting for team Objectives and Key Results (OKRs), roadmaps, and strategic initiatives under the direction of team leadership.

Synthesize complex physical security and operational data into polished, objective-driven status reports and presentation-ready performance metrics; support the preparation of Monthly Readouts and contribute foundational content for Quarterly Business Reviews (QBRs).

Provide rigorous non-technical project management structure, milestone tracking, and operational oversight for designated cross-functional security programs, proactively escalating risks and blockers to team leadership.

Support the standardization of team-wide project management practices and develop relevant documentation, templates, and training aids to successfully implement programs and maintain process integrity.

Assist in building out, structuring, and developing the foundational assets for specialized physical security onboarding programs and organizational compliance initiatives.

Verify internal controls and organize program documentation to ensure a flawless transition and controlled operational handover of completed projects to the designated Waymo Manager.

Support the research, tracking, and practical integration of modern generative AI tools (such as Gemini, Notebook LM, etc.) and automated workflows to streamline physical security project pipelines and enhance overall team operational velocity.

Support the development, distribution, and logistical management of internal security awareness programs designed to educate the workforce on physical security standards.

Document and track standardized workflows for new security initiatives, ensuring they follow established frameworks aligned with industry standards (e.g., ASIS, ISO).

Manage authorized feedback collection queues, tracking inputs, and resolving cross-functional coordination roadblocks.

Provide comprehensive contract administration and financial operations support, including drafting, submitting, and tracking Purchase Orders (POs), Statements of Work (SOWs), and Non-Disclosure Agreements (NDAs). Fluently navigate and manage the end-to-end procurement lifecycle within the designated Waymo software applications, specifically Ironclad, Salesforce, and Ariba.
