What does a recruiting executive assistant do?

A Recruiting Executive Assistant supports executive-level recruiters or talent acquisition leaders by managing schedules, coordinating interviews, preparing candidate materials, and handling confidential information. They act as a liaison between executives, candidates, and hiring managers, ensuring smooth communication and organization throughout the recruitment process. Their role often includes administrative tasks such as calendar management, travel arrangements, and reporting, as well as assisting with recruitment events and projects.

How does a recruiting executive assistant typically support both executive leadership and recruitment teams on a daily basis?

A Recruiting Executive Assistant plays a dual role by managing executive calendars, coordinating meetings, and handling confidential information, while also supporting recruitment efforts. This often involves scheduling candidate interviews, preparing recruitment materials, and acting as a liaison between executives, candidates, and hiring managers. The position requires strong organizational skills and the ability to prioritize tasks in a fast-paced environment, as you will frequently switch between administrative duties and recruitment coordination. This collaborative role offers valuable exposure to both high-level decision-making and talent acquisition processes, providing a solid foundation for career growth within HR or executive administration.

What are the key skills and qualifications needed to thrive as a recruiting executive assistant, and why are they important?

Familiarity with applicant tracking systems (ATS), calendar management tools, and MS Office Suite is typically required. Excellent communication, discretion, and multitasking skills set outstanding candidates apart. These competencies ensure efficient recruitment operations, seamless executive support, and a positive candidate experience.

Executive Assistant Dream Team

Senior Executive Support Consultant — Contract Assignments

Location: Minneapolis–St. Paul, Minnesota
Engagement: Independent Contractor / Project-Based Assignments
Work Arrangement: On-Site, Hybrid and Remote Based on Client Needs
Assignments: Interim Executive Support, Leaves of Absence, Special Projects, Executive Transitions and Peak Workload Support

About the Steele Recruiting Dream Team

We are growing!

Steele Recruiting is a nationally recognized, WBENC-certified executive search firm specializing in exceptional Executive Assistants, Chiefs of Staff and executive support professionals serving CEOs, Presidents, C-Suite executives, entrepreneurs and family offices.

The Steele Recruiting Executive Assistant Dream Team is an invitation-only group of highly accomplished executive support professionals available for select interim and project-based assignments throughout the Minneapolis–St. Paul area.

This is not an entry-level contract opportunity. Dream Team members are seasoned professionals who can step into a sophisticated executive environment, quickly understand what needs to be done, establish trust and begin adding value immediately.

You like contract work and will be a 1099 contractor.

We are selectively adding one exceptional executive support professional to the Dream Team.

The Opportunity

Dream Team consultants are engaged when organizations need experienced executive support without the learning curve.

Assignments may include supporting a CEO, President, C-Suite executive, entrepreneur, family office or senior leadership team during a leave of absence, leadership transition, special project, period of organizational growth or temporary gap in executive support.

Every assignment is different. The common denominator is the caliber of professional our clients expect.

Dream Team members must be confident walking into an unfamiliar organization, assessing priorities, building relationships and taking ownership without requiring extensive direction.

What You May Be Asked to Do

Depending upon the assignment, responsibilities may include:

  • Provide high-level administrative support to CEOs, Presidents, C-Suite executives and other senior leaders.
  • Manage complex and frequently changing executive calendars with sound judgment around priorities and competing demands.
  • Coordinate domestic and international travel, detailed itineraries and changing travel logistics.
  • Manage meetings, agendas, materials, follow-up and executive communications.
  • Coordinate board, leadership team and other high-level meetings.
  • Prepare presentations, reports, correspondence and executive-level documents.
  • Manage expenses, invoices and administrative processes.
  • Serve as a professional liaison between the executive and employees, clients, board members, community leaders and other key stakeholders.
  • Assist with events, executive meetings, off-sites and special projects.
  • Establish organization and processes in environments that may need immediate structure.
  • Anticipate executive needs and proactively address issues before they become problems.
  • Handle highly confidential business and personal information with exceptional discretion.
  • Provide executive personal assistance when appropriate to the assignment.
  • Step into other responsibilities as needed to ensure the executive and organization are supported.

Who Belongs on the Dream Team

We are looking for the best of the best in executive support.

The ideal Dream Team member has spent their career earning the trust of senior executives and understands that exceptional executive support goes far beyond managing a calendar.

You are someone who:

  • Has significant experience supporting CEOs, Presidents, C-Suite executives or similarly demanding senior leaders.
  • Is highly polished, professional and comfortable interacting at the executive and board level.
  • Has exceptional judgment and knows when to act independently and when to involve the executive.
  • Anticipates needs rather than waiting to be told what to do.
  • Can quickly assess a situation, establish priorities and create order.
  • Is calm, resourceful and solutions-oriented when circumstances change.
  • Understands executive presence, confidentiality and discretion.
  • Is technologically proficient and able to quickly learn new systems.
  • Communicates exceptionally well in writing and verbally.
  • Can move comfortably between strategic executive support and hands-on administrative work.
  • Leaves things better than they found them.
  • Takes pride in representing both the client organization and Steele Recruiting at the highest professional level.

Required

  • Must reside in the Minneapolis–St. Paul metropolitan area.
  • Must have reliable transportation and be able to drive to and work on-site at client locations throughout the Twin Cities as requested.
  • Must be willing to accept assignments that may be on-site, hybrid or remote depending upon client requirements.
  • Significant senior-level executive administrative experience.
  • Demonstrated experience supporting high-level executives in complex professional environments.
  • Strong proficiency with current executive productivity and communication technology.
  • Ability to successfully complete Steele Recruiting's screening, interview and reference process.
  • Ability to operate as an independent contractor for project-based assignments.

What Makes Someone Exceptional on the Dream Team

Our clients are not simply looking for someone who can complete administrative tasks. They need someone they can trust.

The strongest Dream Team consultants are the people an executive quickly comes to rely upon — professionals who see around corners, protect the executive's time, understand the business, recognize what matters and quietly make things happen.

They are adaptable without being passive, confident without ego, personable without losing professionalism and experienced enough to know that no two executives should be supported exactly the same way.

Assignment Availability

Dream Team opportunities are project-based and vary in duration, schedule, location and weekly hours. Assignments are offered based upon client requirements and the experience, availability and fit of individual Dream Team members.

Placement on the Dream Team does not guarantee a specific number of assignments or hours.

Our Standard

Membership on the Steele Recruiting Dream Team is intentionally limited.

We look for accomplished executive support professionals who have demonstrated excellence throughout their careers and who we would be confident placing directly beside one of our most valued clients.

Experience matters. Judgment matters. Professionalism matters. Trust matters.

If you are selected for the Steele Recruiting Dream Team, it is because we believe you represent the level of executive support for which Steele Recruiting is known.

Please submit your resume and references in confidence and confidential consideration.
