Job description

Executive Assistant to the OwnerAbout the Role

Guardian Angel Home Care is seeking a highly organized, dependable, and proactive Executive Assistant to work directly with the Owner, Sam Kassab, and support his day-to-day schedule, communication, follow-up, and administrative needs.

This position requires someone who can work closely with a fast-paced executive, stay ahead of daily priorities, and ensure that important calls, emails, meetings, requests, and follow-up items are handled promptly and professionally.

The Executive Assistant will serve as a key point of support for Sam throughout the workday. This individual must be able to type quickly, write professional emails and correspondence, maintain an organized schedule, track outstanding tasks, and follow through on assignments without requiring constant direction.

In addition to executive support responsibilities, this position will also work closely with the Recruiting Department and may assist with candidate outreach, interview scheduling, recruiting follow-up, documentation, and other hiring-related tasks.

The ideal candidate is highly organized, confident communicating with employees and outside contacts, comfortable managing multiple priorities at once, and able to keep up in a busy and constantly changing environment.

Key Responsibilities
  • Work directly with the Owner, Sam Kassab, to manage and organize his daily schedule, priorities, meetings, calls, and appointments.
  • Maintain Sam's calendar and ensure he is prepared for upcoming meetings, appointments, interviews, calls, and deadlines.
  • Monitor and assist with daily email communication, including drafting, organizing, responding to, and following up on important emails.
  • Track phone calls, messages, requests, and follow-up items to ensure nothing is overlooked.
  • Follow up with employees, managers, vendors, candidates, and outside contacts on Sam's behalf when requested.
  • Maintain an organized list of outstanding tasks, commitments, and action items and provide regular follow-up until they are completed.
  • Draft professional emails, letters, memos, documents, and other correspondence.
  • Type accurately and efficiently while taking notes, preparing documents, and communicating information.
  • Prepare Sam for meetings by gathering relevant information, documents, updates, and outstanding action items.
  • Take meeting notes when necessary and ensure assigned follow-up items are completed.
  • Coordinate meetings, conference calls, interviews, appointments, and other scheduled activities.
  • Assist with travel planning, scheduling, reservations, and itineraries when needed.
  • Maintain confidentiality when handling company, employee, financial, and executive-level information.
  • Communicate professionally with employees and leadership across multiple Guardian Angel Home Care locations.
  • Help organize and prioritize urgent matters as they arise throughout the workday.
  • Anticipate the Owner's needs and proactively address administrative issues before they become problems.
Recruiting Support Responsibilities

The Executive Assistant will also work hand-in-hand with the Recruiting Department and assist with recruiting activities as needed, including:

  • Contacting candidates by phone, text, and email.
  • Scheduling interviews and coordinating interview calendars.
  • Following up with candidates throughout the hiring process.
  • Assisting with job postings and candidate sourcing.
  • Reviewing resumes and helping organize candidate information.
  • Preparing recruiting correspondence and interview documentation.
  • Following up with hiring managers regarding interviews, offers, and candidate status.
  • Assisting with offer letters, onboarding communication, and new-hire coordination.
  • Maintaining organized recruiting records and candidate tracking.
  • Supporting recruiters and management with special hiring projects as needed.
Minimum Qualifications
  • Previous experience as an Executive Assistant, Administrative Assistant, Office Manager, Recruiting Assistant, or similar professional support role.
  • Strong typing and written communication skills.
  • Ability to draft clear, professional emails and business correspondence.
  • Excellent organizational and time-management abilities.
  • Strong attention to detail and follow-through.
  • Ability to manage multiple assignments, deadlines, and priorities simultaneously.
  • Comfortable working directly with senior leadership and executives.
  • Strong verbal communication and telephone skills.
  • Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and general computer applications.
