What is a recruiting coordinator?

Recruiting coordinators are human resources professionals who manage and support the hiring process within an organization. They are responsible for scheduling interviews, communicating with job candidates, coordinating with hiring managers, and ensuring a smooth recruitment process from start to finish. Recruiting coordinators often handle job postings, candidate tracking, and assist with onboarding new hires. Their organizational and communication skills are crucial in helping companies attract and hire top talent efficiently.

What does a recruiting coordinator do?

Recruiting coordinators work mainly in HR or employee recruiting positions at various companies. However, some sports franchises and college athletics departments employ recruiting coordinators who monitor individual team recruiting practices, schedules, and compliance. As a recruiting coordinator at a staffing agency or HR department, your responsibilities are to coordinate recruiters, inform them about new employee positions, schedule interview times for potential candidates, and review resumes. Your duties include a mix of administrative tasks, such as scheduling and organizing meetings, as well as hiring responsibilities.

What are the key skills and qualifications needed to thrive as a recruiting coordinator, and why are they important?

To thrive as a Recruiting Coordinator, you generally need strong organizational skills, attention to detail, and a background in human resources or a related field. Familiarity with applicant tracking systems (ATS), scheduling tools, and HR software is commonly required. Excellent communication, multitasking, and interpersonal skills help you build relationships with candidates and support hiring teams effectively. These abilities ensure efficient coordination of the recruitment process, a positive candidate experience, and successful talent acquisition outcomes.

What are some common challenges recruiting coordinators face when managing multiple job openings simultaneously?

Recruiting Coordinators often manage several open positions at once, which can present challenges in keeping timelines on track and ensuring a positive candidate experience. Balancing the scheduling of interviews, communicating with candidates and hiring managers, and updating applicant tracking systems requires strong organizational skills and attention to detail. Effective prioritization and proactive communication are critical to meet deadlines and avoid bottlenecks in the hiring process. Additionally, adapting quickly to shifting priorities and last-minute changes is a common aspect of the role.

Description

Fervo Energy is advancing next-generation geothermal technology to deliver clean, reliable, and scalable energy. Achieving this mission requires an exceptional team; the Recruiting Coordinator will play an important role in ensuring every candidate experiences the thoughtfulness, urgency, and operational excellence that defines Fervo.ย

About the Roleย

Fervo Energy is seeking an organized, responsive, and candidate-focused Recruiting Coordinator to support our growing Talent Acquisition team. This individual will coordinate interviews across multiple functions and levels, post and maintain job openings, support ad hoc recruiting projects, and help deliver a seamless candidate experience throughout the interview process.ย

The ideal candidate thrives in a fast-moving environment, communicates with clarity and professionalism, and can navigate multiple priorities without losing sight of the details. This is a 12-month contract position with the potential to convert to a full-time role based on performance and business needs.ย

Requirements

Responsibilitiesย

Interview Scheduling & Coordinationย

  • Coordinate high-volume virtual and onsite interviews across multiple teams, locations, time zones, and seniority levels, managing complex and frequently changing calendars and resolving conflicts to keep hiring processes moving
  • Support onsite candidate visits end-to-end, including room reservations, interview-day logistics, and real-time schedule adjustments
  • Ensure candidates and interviews have the information, materials, meeting links, and logistical support needed for a successful interviewย

Candidate & Partner Communicationย

  • Serve as a secondary point of contact for candidates; respond quickly and professionally to questions and communicate interview details, preparation materials, schedule changes, and next steps with a welcoming, high-touch approach.
  • Partner closely with recruiters, hiring managers, interviewers, and administrative partners to build efficient interview schedules and deliver consistent, high-quality supportย

Process & Recordsย

  • Maintain accurate interviews, job posting, and communication records in the Company's ATS system, and external websites.
  • Handle sensitive candidate and hiring information with discretion and sound judgment
  • Identify scheduling delays, communication gaps, or potential process improvements and proactively raise them with the appropriate recruiting partnerย

Additional Supportย

  • Assist with ad hoc Talent Acquisition projects, recruiting events, reporting, documentation, and other coordination needs as priorities evolveย

Qualificationsย

  • At least 2 years of experience in recruiting coordination, executive or administrative support, human resources, logistics, or a similarly fast-paced coordination role
  • Demonstrated experience managing complex calendars and coordinating meetings across multiple stakeholders
  • Excellent written and verbal communication skills; able to communicate professionally and empathetically with candidates and internal partners
  • Strong organizational, prioritization, and multitasking skills; able to manage multiple active requests and competing deadlines
  • A proactive, solutions-oriented approach; able to anticipate needs, resolve scheduling challenges, and maintain momentum with limited oversight
  • Strong sense of ownership, reliability, and urgency; committed to following through and ensuring details do not fall through the cracks
  • Flexibility and composure when schedules, priorities, or business needs change
  • Ability to handle confidential information with professionalism and discretion
  • Proficiency with Microsoft Office and familiarity with virtual meeting platformsย

Preferred Qualificationsย

  • Experience working in a startup or similarly high-growth, fast-paced, evolving organization
  • Experience working in Greenhouse
  • Experience coordinating both virtual and onsite interviews
  • Familiarity with candidate experience best practicesย

What Success Looks Likeย

A successful Recruiting Coordinator creates a seamless and welcoming experience for candidates while helping recruiters and hiring teams operate efficiently. They communicate proactively, remain composed when schedules shift, and consistently deliver accurate, timely coordination. Over time, they become a trusted partner who strengthens the candidate's experience and helps Fervo move exceptional talent through the hiring process with speed and care.
