Position Overview
We are seeking a highly organized and detail-oriented Recruiting Coordinator to support our Talent Acquisition team. This role ensures a smooth and efficient hiring process by managing offer letters, background checks, onboarding documentation, interview logistics, and recruiting systems. The Recruiting Coordinator will also assist with a wide range of recruiting activities to support timely and successful hiring across the organization.
Key Responsibilities
  • Draft, distribute, and track offer letters for selected candidates.
  • Coordinate pre-employment requirements including background checks, drug screens, and other compliance processes.
  • Manage and process new hire paperwork such as direct deposit forms, I-9s, and tax forms.
  • Create, distribute, and track Cognito forms to ensure accurate and timely completion.
  • Maintain candidate records in the applicant tracking system (ATS) and ensure compliance with internal policies and regulatory requirements.
  • Act as the primary point of contact for candidates during the onboarding process, providing guidance and support as needed.
  • Partner with recruiters and hiring managers to ensure smooth communication and alignment throughout the hiring process.
  • Sit in on interviews with hiring managers to support coordination and ensure consistency in the interview process.
  • Schedule interviews using Microsoft Outlook, coordinating availability across candidates and internal stakeholders.
  • Assist with travel requests and logistics for candidates and interviewers, ensuring a seamless experience.
  • Create job descriptions using the Hays format and update JazzHR accordingly to support recruiting needs.
  • Support additional administrative and operational duties within the Talent Acquisition function.

Qualifications
  • 1–2 years of recruiting coordination, HR, or administrative experience preferred.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent attention to detail and accuracy in handling sensitive information.
  • Strong written and verbal communication skills.
  • Proficiency with MS Office Suite (Word, Excel, Outlook); experience with ATS or HRIS systems is a plus.
  • Ability to work independently as well as collaboratively within a team.
