Job description
The Administrative Office is seeking 2 administrative staff members to join the Receptionist Team to assist with covering the Reception desk as backup for the Federal Street Receptionists. The Receptionist Backup positions are open to any Federal Street administrative staff and preference will be given to non-supervisor and non-Murder Assignment Assistant staff.Â
Receptionist Backups will be required to be available for 2-3 hour shifts approximately 5 times per month and will need to be physically on Federal Street during those times. Receptionist backups will also be required to cover the Federal Street Receptionists' twice daily 15-minute breaks approximately 4 times per month.
Compensation - a stipend of $2,500.00 per year paid on a biweekly basis while completing the required duties and responsibilities.

AGENCY OVERVIEW
CPCS is the state agency in Massachusetts responsible for providing an attorney when the state or federal constitution or a state statute requires the appointment of an attorney for a person who cannot afford to retain one. The agency provides representation in criminal, delinquency, youthful offender, family regulation, guardianship, mental health, sexually dangerous person, and sex offender registry cases, as well as in appeals and post-conviction and post-judgment proceedings related to those matters.
The clients we represent are diverse across every context imaginable and bring many unique cultural dimensions to the matters we address. This reality creates a critical need for CPCS staff to be culturally competent and able to work well with people of different races, ethnicities, genders and/or sexual orientation identities, abilities, and limited English proficiency, among other protected characteristics.

POSITION OVERVIEW
Â
Receptionists are key employees for the agency's Administrative Office, they truly are the face and voice of CPCS welcoming visitors and notifying employees of visitor arrivals. The Receptionists also answer, screen, and forward incoming telephone calls to the appropriate employee or department as well as receiving, sorting, and distributing daily mail and deliveries.Â
The ideal candidate will have the understanding that this is a highly visible position and will possess the professional attitude, personality, and integrity to deal with clients, visitors, and agency staff at all levels. They must demonstrate excellent customer service and be able to handle the large volume of calls with a high degree of tact and be able to call upon strong de-escalation skills, and patience in certain situations. It is expected that the person in this role will act with professionalism and responsiveness in all situations.
Compensation - a stipend of $2,500.00 per year paid on a biweekly basis while completing the required duties and responsibilities.
QualificationsMINIMUM ENTRANCE REQUIREMENTS
Candidates must:
- Be an Administrative Assistant or higher;
- Be assigned to a Unit/Division that is housed at Federal Street;
Preference will be given to non-supervisor and non-Murder Assignment Assistant staff.
The needs of the relevant Division and Office will be factored into the decision for who is selected for the Receptionist Backup positions.
QUALIFICATIONS/SKILLS
Â
- Strong customer service skills and the ability to handle challenging situations;
- Promptness and reliability are essential;
- Strong organizational and detail skills are necessary;
- Bi-lingual skills (Spanish) highly desirable; and,
- Experience with Microsoft Word and Outlook also desirable.
RESPONSIBILITIES

Receptionist Backups will be required to be available for 2-3 hour shifts approximately 5 times per month and will need to be physically on Federal Street during those times. Receptionist backups will also be required to cover the Federal Street Receptionists' twice daily 15-minute breaks approximately 4 times per month.
The responsibilities for this position include the following:
- Serving CPCS visitors by greeting, welcoming, and directing them as necessary as well as monitoring visitor access and maintaining security awareness;
- Notifying agency personnel of visitor arrivals;
- Answering, screening, and forwarding incoming telephone calls to CPCS central office to appropriate departments or outside legal assistance providers or agencies;
- Maintaining professional demeanor and boundaries at all times and following agency policy concerning collect calls from incarcerated clients;
- Acting with a high degree of tact, strong de-escalation skills, and patience.Â
- Ensuring reception area and mail station are clean, neat, and presentable and overseeing supply inventory relevant to reception and mail areas;
- Receiving, sorting, and distributing daily mail/deliveries for Boston office; as well as posting outgoing mail;
- Attend bi-monthly informational sessions with topics such as meet the unit or information on how to handle distressed callers
- Performing other clerical receptionist duties such as scanning, electronic filing, and photocopying; and,
- Other duties as assigned.
