Job description

Zachry Engineering Corporation (ZEC) is looking for a detail-oriented Senior Document Control Coordinator with strong experience in Aconex. This is a great opportunity to work on a challenging project(s) for established clients in the industry to transform the organization's document management capabilities and greatly impact the engineering business. 

Qualifications

  • Aconex experience required.
  • Experience in SharePoint preferred
  • High school diploma with previous experience in other functional areas
  • Minimum of 7+ years of experience in project support/document control management in the Oil & Gas Engineering industry
  • Experience in setting up and utilizing Aconex for document management.
  • Excellent proficiency in Microsoft Office: Word, Excel, PowerPoint.
  • Must have the ability to prioritize, manage time well, troubleshoot and work in a fast-paced and deadline driven environment.
  • Problem solving skills, works to resolve complex situations with appropriate management
  •  Must be organized and detailed oriented with the ability to multi-task.
  •  Experience in following and updating as necessary document management processes and procedures
  • Oversight of contractors and employees operating within the client's information management systems
  • Possesses excellent oral and written communication skills
  • Attend project meetings and make presentations as required by project management.
  • Dependable by meeting deadlines, working independently, accountable for work, maintaining focus, punctual, and a good attendance record
  • Maintain a professional attitude and be able to work interdependently or work as a TEAM member when needed

Physical Demands:

Employees will be required to communicate in person, via telephone, email, video chat and software systems. Position may include visits to construction sites and industrial facilities requiring mobility and the use of personal protective equipment (PPE) including but not limited to: hardhat, safety glasses/goggles, ear plugs/muffs, masks/respirators, safety vests, gloves and work boots.

Work Environment

Employees will work in multiple environments including an office or in a trailer or building on construction sites. On construction sites, noise levels will be moderate to high. Job sites may contain the following: light to heavy equipment vehicles, small to large equipment, materials, communication equipment and tools, people standing, walking, sitting, signaling, and talking. Noise levels vary and may include bells, whistles, and alarms.

Responsibilities

The Senior Document Control Coordinator utilize Aconex and will lead the project's document management effort during the execution phase(s).  This role will report to the Project Manager/Project Engineering Manager on a large cap project or a portfolio of projects.  This role will develop, maintain, and enforce the project's document management procedure and processes to efficiently deliver all internal and external project related documents, while adhering to Zachry's applicable policies and procedures.  

  • To oversee document control activities on projects; ensure that quality of document controls deliverables meet expected standards.
  •  Provide oversight of vendor data activities on projects; ensure that quality of vendor data deliverables meet expected standards
  •  Prepare various management and project status reports.
  •  Ability to communicate with all levels of management, clients and project team members to achieve project objectives
  •  Receives all deliverables and logs them into the document control system, then creates and distributes transmittals to the clients, vendors, and project personnel.
  •  Scan, image, organize and maintain documents/filing system, adhering to the company's document procedures.
  •  Maintains necessary documentation logs utilizing the document control system throughout the project.
  •  Post documents/drawings to Aconex, SharePoint, etc.
  •  Work closely with the project team and client on the status of project documents.
  •  Develop and/or maintain documents such as meeting minutes, drawings, specifications, and approvals.
  •  Perform basic to intermediate word processing, spreadsheet and database assignments.
  •  Mail out and/or distribute documents, parcels and other materials.
  •  Ensure work is being performed within the guidelines of ZEC company policies and procedures.
