General Description: The Purchasing Assistant, under the direct supervision of the Purchasing Agent, is responsible for assisting with the College's purchasing function including the processing of requisitions, purchase orders, and assisting with Bookstore activities. The Purchasing Assistant will also serve as a back-up for the Purchasing Agent and assist Print Shop when needed.
Duties and Responsibilities of the Position:
1. Serves as the purchase card subject matter expert ensuring users are trained and guidelines are adhered to for accuracy.
2. Partners with Business Office team members to ensure tasks are done while providing supportive guidance as needed.
3. Collaboration with colleagues in a supportive manner to ensure effectiveness of ongoing college operations with excellence.
4. Works effectively with team members to ensure the completion of all procurement administration, assist with the bid administration and construction project related tasks.
5. Participate in operating, planning, and controlling Bookstore operations.
6. Have oversight of buying, coordinating, and merchandising general merchandise.
7. This role will oversee and coordinate bookstore operations, including, but not limited to, shipping & receiving, purchasing functions, accounting, and merchandising.
8. Other duties. (Willingness to accept and fulfill additional assignments.)
Position Qualifications:
Knowledge, Skills, and Abilities:
Understanding of accounting principles and practices. Ability to operate personal computers, calculators, and other business machines. Knowledge of Microsoft Word and Excel. Excellent written and verbal communication skills. Ability to work with minimal supervision. Ability to obtain Forklift Certification to better assist the College. The ability to manage multiple tasks and meet deadlines. Show personal integrity, honesty, and the ability to maintain, always, confidentiality.
Must have knowledge of:
  • Purchasing, Inventory Management
  • Stock Control & Inventory Procedures
  • Coordinate the day-to-day operations of Purchasing.
Minimum Education and Experience:
Associate's degree in accounting, business administration, or another related field required. Prefer 3 years of work experience.
Physical:
  • Moderately Lifting
  • Seeing to read and monitor
  • Walking and standing for periods of time.
  • Hearing and speaking to exchange information.
  • Dexterity of hands and fingers to operate office equipment
Knowledge of computerized accounting systems experience required. Experience in purchasing and receiving commodities is preferred. Knowledge of eCommerce and community college policies and E-procurement preferred.
Salary Grade: RCC Administrative Scale
