About the Role

We are seeking a qualified Protocol Specialist to support U.S. Coast Guard Aviation Logistics Center and CG-AIR command activities. This position is considered Key Personnel and is essential to successful contract performance.

The Protocol Specialist will coordinate distinguished visitor tours, ceremonies, command briefings, conference room support, guest escorts, itineraries, and other protocol-related administrative functions. This role requires strong organization, professionalism, attention to detail, and the ability to work with senior military, civilian, government, and community representatives.

The selected candidate may occasionally be required to work outside normal business hours, with schedule adjustments made as needed.

Key ResponsibilitiesTours and Distinguished Visits
  • Organize and coordinate base-wide tours for distinguished visitors, including Congressional staff, USCG Flag Officers, DHS staff, government agencies, and other official guests.

  • Prepare tour itineraries, coordinate transportation, and support visit logistics.

  • Conduct weekly tours, or tours as scheduled, for newly hired employees, visitors, and other groups as directed by the Command.

  • Lead specialized tours of ALC for civic organizations, government representatives, schools, and other designated groups.

Guest Escort and Itinerary Support
  • Greet arriving aircraft and official visitors.

  • Arrange transportation for guests and visiting personnel.

  • Escort guests throughout the base complex.

  • Manage and coordinate visitor itineraries from arrival through departure.

Command Briefings, Meetings, and Conference Rooms
  • Set up and operate audio/visual equipment for meetings and briefings.

  • Manage and coordinate the Commanding Officer's Conference Room schedule.

  • Operate conference room equipment, update metric boards, and perform related support tasks.

  • Attend designated meetings as directed by CG-AIR Command.

  • Record meeting minutes and publish them as required.

  • Maintain and update weekly briefing materials.

  • Keep the Command Brief, including ALC101 materials, current and accurate.

  • Regularly attend meetings as required.

Ceremonies, Social Functions, and Events
  • Plan and manage ceremonies, including retirements, promotions, awards, and command events.

  • Prepare or coordinate invitations, scripts, speeches, programs, and event materials.

  • Provide protocol support for official ceremonies and command functions.

  • Organize and assist with Wardroom officer social functions.

  • Coordinate the Enlisted Person of the Quarter recognition program in coordination with USCG Public Affairs and local media.

  • Support events at CG-AIR and other USCG domains as needed.

Administrative Support
  • Assist the CG-AIR Commanding Officer's Secretary as required.

  • Support other ALC and Command administrative duties as assigned.

  • Maintain professional communication with government personnel, visitors, and stakeholders.

Required Qualifications
  • Minimum of two (2) years of experience in protocol, event planning, ceremony coordination, or related administrative support.

  • Experience applying protocol and etiquette standards for events, ceremonies, receptions, and official visits.

  • Ability to coordinate events involving dignitaries, military officials, civilian leaders, government representatives, and high-ranking officials.

  • Strong organizational, communication, and customer service skills.

  • Ability to prepare itineraries, coordinate logistics, manage schedules, and support command-level events.

  • Ability to work independently and professionally in a military or government environment.

  • Ability to occasionally work outside normal business hours when mission requirements dictate.

Certification Requirement
  • Must obtain the Military/DoW Protocol Specialist certification within twelve (12) months of hire.

  • Proof of certification must be submitted upon completion.

Key Personnel Requirement

This position is designated as Key Personnel under the contract. Résumés and certifications for proposed personnel must be submitted for government review and approval. Any replacement or removal of Key Personnel requires written notice to the Contracting Officer and approval before the change takes effect.

Preferred Experience
  • Prior experience supporting military, federal government, or command-level protocol operations.

  • Experience coordinating distinguished visitor visits, official ceremonies, executive briefings, or military events.

  • Familiarity with U.S. Coast Guard, Department of Homeland Security, or Department of War / Department of Defense protocol procedures.

  • Experience setting up and operating conference room audio/visual equipment.

  • Experience preparing meeting minutes, briefing materials, scripts, programs, and official correspondence.

Work Environment

This position supports a professional military command environment and requires frequent interaction with senior leaders, official visitors, government personnel, and community representatives.
