Protocol SpecialistPosition Overview

We are seeking a highly organized and professional Protocol Specialist to support Coast Guard Aviation Logistics Center (ALC) leadership by coordinating distinguished visitor engagements, protocol activities, ceremonies, meetings, conferences, and special events. The successful candidate will serve as a key liaison for VIP visits, official functions, and command-level administrative support while ensuring adherence to military and government protocol standards.

Key ResponsibilitiesProtocol and Distinguished Visitor Support
  • Coordinate and manage official visits, distinguished visitor engagements, and base-wide tours.
  • Develop itineraries and arrange transportation for visiting dignitaries, Congressional staff, senior military leaders, government officials, and other guests.
  • Escort visitors throughout the installation and ensure all protocol requirements are met.
  • Conduct weekly orientation tours for newly hired employees and other designated visitors.
  • Lead specialized tours for civic organizations, schools, government representatives, and other approved groups.
Meetings, Briefings, and Conference Support
  • Schedule and coordinate Command conference rooms and related resources.
  • Set up, operate, and troubleshoot audio/visual equipment for meetings and events.
  • Maintain command briefing materials and ensure briefing content remains current and accurate.
  • Attend designated meetings, record meeting minutes, and distribute final documentation.
  • Update command metric boards and briefing presentations as required.
Ceremonies and Event Management
  • Plan, coordinate, and execute official ceremonies, including retirements, promotions, awards presentations, and special command events.
  • Prepare invitations, scripts, speeches, programs, and event materials.
  • Provide protocol guidance to command leadership and staff.
  • Coordinate recognition programs, including Enlisted Person of the Quarter activities.
  • Assist with social functions and official receptions.
Administrative Support
  • Provide support to the Commanding Officer's Secretary.
  • Assist with command administrative functions and special projects.
  • Support public affairs coordination and media engagement activities as required.

Requirements:Minimum Qualifications
  • U.S. Citizen.
  • Excellent written and verbal communication skills.
  • Ability to read, write, speak, and understand English.
  • Proficiency with Microsoft Office Suite.
  • Ability to manage multiple priorities and meet competing deadlines.
  • Ability to work independently with minimal supervision.
  • Knowledge of basic arithmetic.
Required Experience
  • Minimum of two (2) years of protocol, event planning, or related experience.
  • Experience applying protocol and etiquette principles while coordinating events, ceremonies, receptions, and official functions involving senior military leaders, government officials, and distinguished guests.
Certification Requirement
  • Must obtain Military/Department of War Protocol Specialist Certification within twelve (12) months of hire and provide proof of completion.
Highly Desired Qualifications
  • One (1) year of experience supporting U.S. Coast Guard operations and procedures.
  • Experience with:
    • Aviation Logistics Management Information System (ALMIS)
    • Asset Maintenance Management Information System (AMMIS)
  • Previous military, federal government, or executive-level protocol experience.
Work Environment

This position may occasionally require work outside normal business hours to support official ceremonies, distinguished visitor events, and command functions. Work schedules will be adjusted as necessary to meet mission requirements.
