Atrium is seeking on behalf of our client an Assistant Property Coordinator based in Jersey City, NJ.

Location: Jersey City, NJ

Employment Type: Full-time

Compensation: $60-75K

Position Overview

The Assistant Property Coordinator will support the daily operations of commercial properties, ensuring efficient building management and exceptional tenant service. This role involves coordinating maintenance, assisting with lease administration, and supporting financial processes. The position requires strong organizational skills and the ability to collaborate with property managers, tenants, and vendors. Must be legally authorized to work in the United States.

Responsibilities

  • Assist in the daily management of commercial properties, ensuring smooth building operations and tenant satisfaction.
  • Serve as a point of contact for tenant requests, coordinating maintenance, service calls, and follow-ups.
  • Support lease administration, including abstracting leases, tracking critical dates, and ensuring compliance with lease terms.
  • Prepare and process invoices, purchase orders, and assist with accounts payable/receivable functions.
  • Coordinate with vendors and contractors to ensure timely maintenance, repairs, and capital improvement projects.
  • Conduct regular property inspections to ensure safety, cleanliness, and adherence to standards.
  • Assist in budget preparation, expense tracking, and monthly financial reporting.
  • Support rent collection efforts and follow up on delinquencies as needed.
  • Maintain accurate property records, files, and reports within property management systems.
  • Help coordinate tenant events, communications, and retention initiatives.

Required Experience/Skills

  • 1–3 years of experience in commercial property management or related real estate field.
  • Familiarity with lease terms, CAM reconciliations, and commercial property operations.
  • Experience with property management software (e.g., Yardi, MRI, or similar).
  • Strong organizational skills and attention to detail.
  • Excellent communication and customer service skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).

Preferred Experience/Skills

  • Experience supporting office, retail, or industrial portfolios.
  • Basic understanding of budgeting and financial reporting.
  • Vendor management and contract coordination experience.

Education Requirements

  • Bachelor’s degree is required.
  • Bachelor’s degree in Business, Real Estate, or a related field is preferred.
