If so, weโ€™d love to hear from you. We are looking for a Project Document Controller to play a key role in supporting Transmission Line and Substation EPC projects across Canada. While this role is primarily administrative, it also offers the opportunity to provide document control leadership and trusted expertise to corporate stakeholders, project teams, and clientsโ€”helping ensure document integrity, compliance, and efficiency throughout the entire project lifecycle.
This is an office-based position located in Edmonton, AB; Calgary, AB; or Abbotsford, BC, with the potential for a hybrid work arrangement for the right candidate.

KEY (CORE) DUTIES AND RESPONSIBILITIES

Maintaining Digital Document Management System

ยท Ensuring that all project documentation submitted to the company document control system by project team members is correctly coded and filed in a timely manner

ยท Ensuring quality of information contained in the company document control system

o documents are correctly and completed coded with the appropriate meta data

o documents presented in M-Files are the most current version

o prevention of document duplication

ยท Identify and report deficiencies and/or problems with the company document management system

Document Controls Operations

ยท Assisting team members with locating documents, answering document control related questions, and resolving service issues in a timely and professional manner

ยท Manage formal communications transmittals with external stakeholders

ยท Provide front-line system user support and training

ยท Identifying and communicating to the Java Holdings Ltd. Director, Systems issues that impact the delivery of successful Document Controls program

Document Control Processes and Procedures

ยท Support the development, standardization, and operational execution of document control processes and procedures

ยท Provide training and support to stakeholders on document control processes and procedures

Requirements

EDUCATION AND EXPERIENCE:

  • Minimum 3 years document control supporting construction projects
  • Experience with maintaining a digital document management system
  • College or University Diploma /Degree preferably in Administration, Information Management, or Records Management is preferred
  • Specific experience with Engineering and Construction document management is an asset
  • Highly proficient with the Microsoft Suite of Office applications, and Adobe PDF
