ROLE OVERVIEW – This is a PART-TIME / casual position, can be 20 + hours per week. Edmonton Office.

The Junior / Intermediate Document Controller supports the Document Control team and project teams by managing the lifecycle of project documentation (both physical and electronic) to ensure accuracy, compliance, and ease of retrieval. This is typically an entry-level position where the employee learns established procedures and systems.

Reporting to the Document Controls Lead, the Junior / Intermediate Document Control will be aiding with the project services team in areas such as Document Processing (filing, retrieval and quality checks), Distribution and Communication (transmittals and correspondences), and System Maintenance (SharePoint, EDMS) to & from within Kleinfelder. 

This is a great opportunity for a Junior level Document Controller who is proactive, collaborative, enthusiastic about new challenges (technically and non-technically) and can communicate well with others. If this description fits what you are looking for in your career, please apply!

EXPERIENCE & ACADEMIC REQUIREMENTS for Junior

  • High School Diploma or equivalent is required
  • Document Control experience is an asset
  • Experience with Enbridge is an asset
  • Self-motivated, detail-oriented professional with 1 to 2 years of related experience.
  • Well versed in Microsoft office suite.
  • Excellent proficiency in Word and Excel with high accuracy and efficiency in entering and managing data
  • Familiarity with common systems like Microsoft SharePoint, or other Electronic Document Management Systems (EDMS) is a major asset.

EXPERIENCE & ACADEMIC REQUIREMENTS for Intermediate

 

  • Post-Secondary Diploma in Information/Document Management or a suitable combination of education and practical experience managing documents.
  • Minimum 5 years of experience as a Document Controller.
  • Proficiency in MS Office Suite programs used to create reports and documents.
  • Knowledge of projects in the oil and gas industry is a must.
  • Knowledge and experience with Enbridge or Syncrude document control systems is an asset

 
RESPONSIBILITES

  • Prepare and transmit time sensitive document packages at the direction of the Project Services Manager; ensure document control function is being performed in accordance with corporate procedures and project requirements in a timely and efficient manner
  • Communicate status of documents to the project services team
  • Maintain document control logs
  • Organize and archive electronic and hard copies of project documents
  • Perform quality checks on document packages to ensure they meet standards.
  • Support team members in completion of their duties, as required.

 
COMPETENCIES & SKILLS

  • Strong administrative skills with a meticulous eye for detail and a willingness to learn industry-specific document control standards.
  • Professional written and verbal communication skills to interact with various
  • Highly trainable with the desire to learn new processes in a changing work environment.
  • Ability to handle very detailed work and demonstrate a high level of accuracy and adherence to procedures.
  • Strong time management skills with the ability to prioritize tasks and meet deadlines, especially when juggling multiple document submissions or requests.
