Job Description:

Hitachi Rail is looking for an enthusiastic self-motivated Associate - Project Support who thrives in a fast-paced environment. The position is based in Mississauga, Canada.

Accountabilities:

Project Documentation & Administration

  • Maintain accurate project documentation and support contract administration activities
  • Prepare project correspondence, reports, and official communications
  • Manage document control systems (e.g., SharePoint) to ensure proper filing and accessibility

Reporting & Financial Tracking

  • Track and report on work-in-progress, accounts payable, and project invoicing forecasts
  • Support weekly project reporting and status updates
  • Assist with cost tracking and reconciliation activities
  • Apply basic cost control principles (costs, revenues, invoicing, WBS, cost categories)

Project Performance & Analysis

  • Support data collection, metrics tracking, and KPI reporting
  • Assist in analyzing project performance, identifying issues, and documenting lessons learned

Planning & Forecasting

  • Support backlog budgeting and forecasting processes, including data consolidation

Process Improvement & Tools

  • Assist in implementing project management process improvements
  • Support the standardization and adoption of tools, templates, and best practices

Project Coordination & Issue Management

  • Contribute to issue tracking and help coordinate action plans for key project challenges
  • Provide general project support as directed by the Project Director (PD)

Administrative Support

  • Support general office and administrative activities related to project operations

Skills and Competencies

  • Strong understanding of administrative practices, business English, and office procedures.

Salary Range CAD $ 66,900 - CAD$100,400.
