Job description

Project Administrative Assistant

APTIM is currently seeking an experienced Project Administrative Assistant, working as part of a joint venture with BWXT to form BWSR in support of the Decontamination and Decommissioning (D&D) efforts at the Kesselring Site in West Milton, New York. This position will be at the project site and will report directly to the Lead Project Manager providing as-needed assistance to others in Site Lead roles as well. Typical duties will include but not be limited to maintaining project files and records, assisting with personnel management and timekeeping, arranging meetings, and recording meeting minutes. The successful candidate must have proficiency in Microsoft Office Software, especially in Teams, SharePoint, Word and Excel. Strong interpersonal skills are required, including the ability to clearly and confidently communicate, both written and verbally, to project team members, client representatives, and APTIM corporate colleagues alike. This is intended as a full-time, non-exempt position, but part-time arrangements may be considered. The nominal project schedule is Monday thru Thursday, 6am to 4:30 pm, but alternate hours for this role could be considered.

Key Responsibilities/Accountabilities:
  • Works with moderate supervision; accountable for individual results and impact on team.
  • Act as a liaison with Human Resources for project employees.
  • Electronic and hard copy filing and records management maintenance.
  • Develop and compile weekly reports.
  • Schedule meetings/maintain calendars of onsite management personnel.
  • Correspond and coordinate with vendors for project supplies and invoicing.
  • Meets and escorts visitors.
  • Takes messages/records meeting minutes.
  • Assists with distribution of correspondence/documents amongst various project team members and the client.
Basic Qualifications:
  • Highly motivated, organized, and detail oriented.
  • Proficient with Microsoft Office software suite, including Teams and SharePoint.
  • Possesses a strong work ethic.
  • Ability to maintain a high level of confidentiality.
  • Requires High School diploma with minimum 5 years of relevant experience.
  • Ability to obtain and maintain a Department of Energy Level L Security Clearance.

As of the date of this posting, a good faith estimate of the current pay range for this position is $19.23 - $32.88 Per Hour. Compensation depends on several factors including: experience, education, key skills, geographic location of the position, client requirements, external market competitiveness, and internal equity among other employees within APTIM.
