Project Administrative Coordinator

Full-Time | In-Office Position Jupiter, FL $18 - $25 per Hour

Join Our Growing Team

Entrusted is hiring a Project Administrative Coordinator to manage the administrative and logistical side of insurance claim files. You'll prepare and submit documentation, communicate with adjusters, and keep files moving so our Project Support Managers can focus on higher-level negotiations. This role plays a critical part in keeping jobs on track for our team members and our clients.

Responsibilities
  • Prepare and send completed invoices and estimates to adjusters
  • Initiate contact with adjusters on invoice files, including handling hold times and routing calls appropriately
  • Conduct limited invoice negotiations, escalating higher-level negotiations and estimate files as needed
  • Maintain accurate file documentation, job notes, and updates in Hubspot and other company systems
  • Communicate with internal team members to resolve file discrepancies or gather missing information
  • Monitor assigned files to ensure timely updates and movement, escalating stalled files when needed
  • Ensure all documentation complies with company and carrier standards
  • Participate in scheduled team meetings and company-wide meetings
  • Other duties may be assigned
Qualifications
  • Strong work ethic and integrity

  • Clear, professional verbal and written communication
  • Comfortable working in a fast-paced, deadline-driven environment
