Overview

The Program Support Associate provides day-to-day administrative, operational, and project support to the Program and Account teams. This is an entry-level opportunity for someone interested in learning the experiential marketing industry while gaining hands-on experience supporting live events, brand activations, and agency operations.


This role is ideal for someone who is organized, dependable, detail-oriented, and eager to learn. The Program Support Associate will assist with program preparation, administrative tasks, event logistics, documentation, scheduling, and other responsibilities needed to keep programs organized and moving forward.

Key Responsibilities:
  • Provide day-to-day administrative and project support to Program and Account teams.
  • Assist with the planning, preparation, and coordination of experiential marketing programs and brand activations.
  • Maintain project trackers, timelines, calendars, task lists, and program documentation.
  • Assist with preparing presentations, spreadsheets, meeting notes, program recaps, and internal documents.
  • Track action items and follow up with team members to help ensure deadlines are met.
  • Organize and maintain program files, photos, reports, receipts, and other documentation.
  • Conduct research related to venues, vendors, staffing, travel, products, and other program needs.
  • Assist with coordinating event materials, supplies, equipment, signage, promotional items, and program assets.
  • Assist with staff scheduling, communication, and event information as needed.
  • Support shipping, receiving, package tracking, and coordination of program materials.
  • Update spreadsheets, internal databases, contact lists, calendars, and project management systems.
  • Assist with expense documentation, receipts, invoices, and other basic program paperwork.
  • Support the collection of event photos, results, staffing information, and other details needed for post-event reporting.
  • Provide onsite event and activation support when needed.
  • Assist with event setup and breakdown when appropriate.
  • Communicate professionally with internal teams, field staff, vendors, and other partners.
  • Support multiple projects simultaneously while adjusting to changing priorities and deadlines.
  • Perform general administrative duties and provide additional team support as assigned.
  • Perform other duties as assigned by Management.
Qualifications
  • 0–2 years of administrative, marketing, event, customer service, or office experience preferred.
  • Interest in experiential marketing, events, advertising, or project coordination.
  • Strong organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to prioritize assignments and manage multiple tasks.
  • Dependable, professional, and comfortable taking initiative.
  • Ability to work independently and collaboratively in a team environment.
  • Comfortable working in a fast-paced environment where priorities may change quickly.
  • Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Teams preferred.
  • Willingness to learn new software, systems, and agency processes.
Physical Demands:
  • Prolonged periods are spent sitting at a desk and working on a computer.
  • Regularly required to sit; use hands to finger, handle, or feel and operate a computer keyboard, mouse, and telephone keypad.
  • Occasionally required to climb or balance; stoop, kneel, crouch, or crawl.
  • Must be able to lift up to 15 Lbs. at times.
