Job description

Overview

The Lease Administration is responsible for overseeing lease administration activities that support a large commercial real estate portfolio. This role manages lease abstraction, critical date tracking, financial obligations, and compliance while ensuring lease data integrity across corporate systems. Working closely with Real Estate, Legal, Finance, Lease Accounting, and external landlords, this position ensures lease obligations are administered accurately, contractual rights are protected, and operational processes support business objectives and accounting compliance.

Responsibilities

Lease Administration & Portfolio Management

  • Oversee the administration of commercial lease agreements throughout the lease lifecycle
  • Review, interpret, and abstract lease documents, amendments, renewals, and related legal agreements
  • Maintain accurate lease records and ensure data integrity within lease management systems
  • Monitor critical lease dates, including renewals, expirations, termination rights, co-tenancy provisions, and option periods
  • Ensure contractual rights and obligations are tracked and communicated to appropriate stakeholders

Financial Administration & Compliance

  • Coordinate with Finance and Lease Accounting to ensure rent payments and lease obligations are processed accurately and on time
  • Administer construction allowances, rent abatements, tenant improvement reimbursements, rent credits, and other financial lease provisions
  • Review and process CPI and other contractual rent adjustments
  • Support lease accounting compliance, including ASC 842 requirements, SOX controls, and audit requests
  • Maintain documentation and workflows that support internal controls and regulatory compliance

Landlord & Cross-Functional Partnership

  • Serve as the primary point of contact for lease administration matters involving landlords and internal business partners
  • Resolve lease interpretation questions, landlord disputes, and payment-related issues
  • Coordinate landlord notifications, default notices, insurance certificates, and maintenance-related lease obligations
  • Review and approve landlord and payee information changes
  • Partner closely with Real Estate, Legal, Facilities, Finance, and Lease Accounting to resolve complex lease issues

Process Improvement & Leadership

  • Evaluate lease administration processes and identify opportunities to improve efficiency, accuracy, and compliance
  • Support implementation and optimization of lease management systems and workflows
  • Provide guidance, training, and quality review for Lease Administration Coordinators
  • Develop and maintain documentation, procedures, and reporting that support operational excellence

Qualifications

Required

  • Bachelor's degree in Business Administration, Real Estate, Finance, or a related field, or equivalent experience
  • 3+ years of experience in commercial lease administration, corporate real estate, facilities, or a related field
  • Strong knowledge of commercial lease agreements, lease administration practices, and lease accounting principles
  • Experience supporting SOX controls, audits, and compliance requirements
  • Understanding of ASC 842 lease accounting requirements
  • Experience with lease management software such as Lucernex, LeaseQuery, Yardi, or similar platforms
  • Proficiency in Microsoft Excel, Word, SharePoint, and other business applications
  • Strong analytical, organizational, and problem-solving skills
  • Excellent written and verbal communication skills with the ability to collaborate across multiple departments
  • Ability to manage multiple priorities while maintaining exceptional attention to detail

  • Experience supervising or mentoring lease administration professionals
  • Experience supporting large commercial real estate portfolios
  • Knowledge of corporate real estate operations, facilities management, and lease compliance best practices
  • Experience driving process improvements and system optimization initiatives
