Verdantas is seeking a Part-Time Pipeline & Administrative Coordinator to support our Kirkland office. This role plays an important part in maintaining operational excellence by strengthening consistency across project and office functions. The Pipeline & Administrative Coordinator helps keep pipeline information current, supports project managers with critical project coordination activities, and ensures administrative processes are completed accurately and professionally. Through strong organization, attention to detail, and proactive communication, this position contributes directly to better planning, improved collaboration, and a more efficient workplace.
What You'll Do:
  • Coordinate with project managers, Area Leaders, CDLs, and other stakeholders to keep the sales and project opportunity pipeline accurate, current, and complete
  • Schedule and facilitate recurring pipeline review meetings with project managers to update opportunities, identify changes, and make real-time adjustments in Vision/Vantagepoint
  • Support creation and maintenance of new opportunities, including expected change orders, future phases of work, and other project-related opportunities.• Generate and distribute pipeline reports for review by project managers, CDLs, Area Leaders, and other leadership stakeholders
  • Monitor pipeline data for accuracy, consistency, and completeness; follow up promptly to resolve discrepancies or missing information
  • Oversee daily office operations, including maintaining supplies, managing correspondence, organizing workspaces, and supporting a clean, professional office environment
  • Serve as a point of contact for internal and external communications, including phone calls, emails, visitors, clients, vendors, and employees
  • Assist with project support needs such as coordinating resources, formatting deliverables, organizing project files, preparing reports, and maintaining accurate records
  • Support onboarding activities for new hires, including workspace setup, orientation coordination, welcome communications, and introductions to office processes and colleagues
  • Assist with meetings, company events, certified mail tracking, fleet logistics, document preparation, and other administrative responsibilities as assigned

What You'll Bring:
  • High school diploma or equivalent required; additional business, administrative, or project coordination training is a plus
  • One or more years of relevant administrative, office support, customer service, project coordination, or data-management experience
  • Strong proficiency with Microsoft Office Suite, especially Outlook, Word, Excel, and PowerPoint; ability to quickly learn tools such as Vision/Vantagepoint and other internal systems
  • Excellent attention to detail, with the ability to maintain accurate records, track follow-ups, and ensure data quality
  • Strong written and verbal communication skills with the ability to interact professionally with colleagues, leaders, clients, vendors, and external partners
  • Strong organizational and time-management skills, including the ability to manage multiple priorities, meet deadlines, and maintain a high level of follow-through
  • A collaborative, proactive, and customer-service-focused approach with a commitment to supporting team success
  • Ability to handle sensitive information with discretion and maintain confidentiality at all times

Salary Range:
$26.00 - $30.00
