Job description

Phone Receptionist

North Atlanta Dermatology is seeking a professional, upbeat, and customer-focused Phone Receptionist to join our team in Duluth, GA. This is a high-volume, phone-based role where you will serve as the first point of contact for patients calling the practice. Ideal candidates will have strong customer service skills, experience handling high call volume, and the ability to multitask in a fast-paced environment.

This role is focused on inbound patient calls, appointment scheduling, call routing, patient inquiries, and delivering a positive phone experience with every interaction. Candidates with experience in call centers, medical reception, patient scheduling, healthcare customer service, or other phone-based customer support roles are encouraged to apply.

This is not a patient-facing front desk role. All responsibilities are phone-based.

Office Location: 3850 Pleasant Hill Road Duluth, GA 30096

Schedule: Monday - Thursday | 8:00 AM - 5:00 PM, Friday 8:00 AM - 4:00 PM

Responsibilities
  • Professionally answer and manage a high volume of incoming patient calls
  • Schedule, confirm, cancel, and reschedule appointments accurately across multiple providers and locations
  • Take clear, concise, and complete phone messages and route them appropriately
  • Enter and update patient demographics and appointment information in the system
  • Assist patients with insurance and payment-related questions over the phone
  • Proactively collect copays or balances when applicable during scheduling calls
  • Provide clear explanations of office policies, procedures, and next steps to patients
  • Ensure all phone messages, voicemails, and faxes are addressed promptly and documented correctly
  • Maintain accurate patient records and verify required information is completed
  • Communicate effectively with clinical and administrative staff to support patient needs
  • Always treat patients with empathy, professionalism, and discretion
  • Assist with additional administrative tasks as needed to support call operations
  • Perform other duties as assigned by management
Qualifications
  • High school diploma or GED required
  • 2+ years of customer service experience required, preferably in a phone-based, call center, reception, scheduling, or patient-facing support role
  • Previous experience managing a high volume of inbound calls while maintaining professionalism, accuracy, and efficiency
  • Experience scheduling appointments, routing calls/messages, and assisting customers or patients over the phone strongly preferred
  • Prior experience in a healthcare or medical office setting preferred
  • Experience working with electronic medical records (EMR/EHR) or scheduling systems preferred
  • Strong verbal communication skills and phone presence
  • Ability to multitask and remain organized in a fast-paced, high-call-volume environment
  • Attention to detail and accuracy when entering patient information
  • Professional, calm, and empathetic demeanor with patients
  • Prior experience in a medical office, call center, or phone-based customer service role preferred
Physical Requirements
  • Sitting, some standing, stooping and reaching.
  • Manual dexterity sufficient to operate a keyboard.
  • Correctable vision to 20/20 and hearing within a normal range for telephone contacts.
  • Lifting and carrying up to 30 pounds.
