Position Summary:Phone Associate is responsible for front office activities including but not limited to greeting patients, answering phone calls, and utilizing multiple computer systems for charting purposes. Exhumes a professional demeanor on the phone when speaking with patients and with all other calls to represent Afdent positively. Will go through extensive training in lobby, finance, billing, and insurance to begin learning the operational flow relative to the essential functions.

Job Responsibilities:Provide above and beyond customer service to our patients
Clearly communicate with the patients and answer questions of patients
Identify the different working systems Afdent uses such as Check-In Software, Confirming Software, PMS, and the purpose for their use
Identify where messages come through on Confirming Software
Input patient information into Open Dental software system; utilize Open Dental and other software systems to enter information accurately
Develop comprehension for payment processing, payment posting, and the schedule
Schedule upcoming appointments and provide confirmation calls throughout the schedule as needed
Identify where to find decisions about next treatment routes for patients
Provide confirmation calls throughout the schedule as needed
Escalate concerns or questions to senior staff member or manager
Promote team cohesiveness by interacting with team members using common courtesy, active listening skills, respect, and a non-judgmental persona
Schedule future appointments as requested with patients
Maintain patient confidentiality and follow OSHA / HIPAA guidelines
Assist with other duties and projects as assigned
Job Specifications:Bilingual/Translator Support Preferred-Candidates fluent in English and Spanish are encouraged to apply. Translation assistance will be needed occasionally (approximately 10-20
% of the role)
Highschool diploma or equivalentMedical office, banking, or dental office experience preferred
Familiarity with HIPAA preferredStrong interpersonal skills with ability to listen

Physical Requirements:Must be able to meet the physical requirements and demands of position, including but not limited to: extended duration of standing, walking, stooping, bending, and sitting. Works in a well-lit, environmentally controlled office environment. Must be able to adjust physically and emotionally to spontaneous, fast-paced and hectic environment.
