Job description

We are seeking a highly organized and detail-oriented Invoicing Specialist to support billing and administrative operations in a fast-paced warehouse environment. This role is critical to maintaining accurate financial records, timely invoicing, and smooth coordination between warehouse operations and accounting.

The ideal candidate is dependable, punctual, comfortable multitasking under pressure, and fluent in QuickBooks, with strong bilingual communication skills.

Key Responsibilities

  • Create, review, and process customer invoices accurately and on time
  • Enter and reconcile data in QuickBooks
  • Verify pricing, quantities, and services before invoicing
  • Maintain organized digital and physical records
  • Communicate clearly with internal teams regarding billing discrepancies
  • Support basic accounting and administrative tasks as needed
  • Meet strict deadlines in a high-volume environment

Required Qualifications

  • Proven experience with QuickBooks (Online 2025- Present)
  • Strong attention to detail and organizational skills
  • Excellent punctuality and reliability
  • Comfortable working in a fast-paced warehouse setting
  • Fluent in English and Spanish (reading, writing, and speaking)
  • Mac and PC proficiency (ability to switch environments easily)
  • Basic accounting or invoicing experience preferred
  • Reliable Transportation
  • Legal authorization to work in the U.S. is required. Employment is contingent upon successful completion of I-9 and all related hiring documentation.
